Summary

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Facilitate effective communication between patients, healthcare professionals, secondary care and other associated healthcare agencies. Job responsibilities: Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice Ensure efficiency of appointment system and monitor flow of patients into consulting and treatment rooms Deal with all general enquiries, explain procedures and make new and follow-up appointments. Ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Undertake office procedures e.g. e-mails, photocopying, filing Maintain accurate patient information on the clinical system Understand the Practice computer system and utilize the system to ensure efficiency. Retrieve and re-file hardcopy records as required, ensuring strict alphabetical order is adhered to Ensure prescriptions are filed ready for collection, ensuring strict alphabetical order is adhered to Ensure all prescriptions not collected after 6 months are identified and brought to the attention of the Prescribing Administrator Ensure that waiting room remains tidy at all times Ensure patient education leaflets are re-stocked and leaflet racks replenished as appropriate Attend training events as appropriate to your role and as directed by the management team. Attend scheduled Practice meetings and Practice workshops (time back in lieu will be given if these events are scheduled outside of your working hours) Ensure all confidential documentation for disposal is dealt with in the appropriate manner i.e. shredded Premises: Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients. When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated. Ensure that all new patients are registered onto the computer system promptly and accurately Ensure Patient tasks are regularly reviewed and the appropriate action taken in a timely manner. Action requests for ambulance transportation and complete all relevant documentation. Ensure complaints are dealt with quickly sympathetically referring to the management team as appropriate. Ensure all significant events, actual and near misses are brought to the attention of the management team. Remain up to date with all information relating to CQC ensuring that all Practice protocols and policies are fully read and understood. Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Receive and make telephone calls as required. Divert calls and take messages, ensuring careful recording of all relevant details Deal with requests for home visits, ensuring careful recording of all relevant details and refer to Duty Doctor. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
