Summary

TITLE: Shift Coordinator - Access Services DEPARTMENT: Operational Team LOCATION: Leeds HOURS OF WORK: 0.5 WTE over a bi-weekly rota CONTRACT: Permanent ACCOUNTABLE TO: Service Delivery & Relationship Manager ROLE SUMMARY Shift Coordinators will work as part of a team to ensure the smooth running of the Leeds GP Confederation Enhanced Access Hours and Same Day Response and Urgent Care Services. Acting as the link between frontline delivery teams and the operational leadership team, they will provide real-time oversight and coordination of service activity. Shift Coordinators will have excellent communication and relationship-building skills and will be the first point of contact for teams on shift, escalating issues when required. Working closely with partners such as Local Care Direct (LCD) and the NHS 111 Directory of Services team, the role ensures patients receive access to safe, appropriate, high-quality same-day response services. The post holder will supervise reception teams on duty, support the induction of new staff, and deliver training when new processes are introduced. Highly organised and adaptable, the Shift Coordinator will be able to work under pressure and respond effectively to operational challenges to maintain service continuity. Shift Coordinators will work on a rota covering evenings and weekends across 7 days to ensure adequate cover during service operating hours and will be supported by the operational leadership and/or Senior Manager on-call rota. The post holder will be required to work flexibly and travel to any service site across Leeds. KEY WORKING RELATIONSHIPS All members of the Leeds GP Confederation Enhanced Access Hours and Same Day Response teams, including central leadership and service delivery teams External partners including LCD, NHS 111 Directory of Services, member practices, and other stakeholders as required MAIN DUTIES The postholder will be required to undertake the following duties: Shift coordination and management support: Act as the first point of contact for frontline staff and external partners, responding effectively to issues, enquiries, alerts, and notifications. Monitor and manage service capacity throughout the shift. Cascade relevant information to staff in a timely and accurate manner. Provide on-the-day support and supervision for sessional reception teams. Support the induction and onboarding of new staff members. Ensure staff understand and follow relevant policies, processes, and guidelines. Ensure staff have access to appropriate equipment, resources, and materials; escalate premises or equipment issues as required. Provide robust handovers to the on-call manager and leadership team after each duty period. Produce a detailed handover following weekend shifts. Ensure incidents are reported in line with policy and contribute to investigations of incidents and complaints where appropriate. Be familiar with and able to implement relevant Business Continuity Plans to manage operational issues. Ensure service environments meet legislative, safety, and infection-prevention requirements. Administrative Duties: Actively and constructively contribute to administrative tasks. Support the operational delivery team by collecting service quality and performance data. Plan and complete activities within agreed timescales, ensuring actions are followed up via email, telephone, or other communication channels. Maintain accurate documentation and records as required. General: Perform duties in accordance with organisational policies and to the best of your ability. Maintain your own professional competency and undertake appropriate development opportunities. Promote effective communication across the Leeds GP Confederation with staff, member practices, and stakeholders.
