Summary

Join our dedicated Clinical Support Office team as aClinical Support Office Assistant, where you’ll play a crucial role in supporting safe, effective staffing acrossAshworth Hospitaland wider clinical sites across theSecure Care Division. This is an excellent opportunity for someone with previousNHS administrative / roster experiencewho thrives in a fast‑paced setting and enjoys working at the heart of service delivery.
In this role, you’ll help maintain accurate e‑rostering, support ward managers with day‑to‑day staffing coordination, record absences, book bank staff, and ensure essential training and staffing information is always up to date. You’ll act as a key link between the Clinical Support Office and ward teams, helping to ensure safe and appropriate staffing levels that directly support high‑quality patient care.
Post holders will be required towork shifts on a weekly basis, including some bank holidays, offering variety and a dynamic working pattern.

Provide clerical and administrative supportto ensure the smooth running of the Clinical Support Office, using electronic roster systems and Microsoft Office applications such as Outlook, Excel and Word.

Maintain an overview of ward staffingby gathering staffing information, compiling master duty sheets, and updating the electronic roster system to ensure accurate, real‑time staffing records.

Work closely with Ward Managers and Duty Managersto ensure a clear and accurate view of daily staffing levels is always available across the hospital sites.

Identify staffing deficitsthat may negatively impact service delivery, escalating concerns promptly to senior managers.

Liaise with the central nurse bankto arrange additional staffing where required and ensure efficient use of temporary staff resources.

Support safe staffing coordinationby updating leave, sickness, training, shift changes and competency information within the e‑roster system.

Act as liaisonfor designated wards, maintaining effective communication, collecting leave requests, and supporting roster planning.

Assist with producing performance and staffing reports, ensuring accurate data collection.

Work shifts on a weekly basis, including some bank holidays, in line with service needs.

Ensure the effective operation of the Clinical Support Office, contributing to consistent, reliable staffing processes that support high‑quality patient care across Ashworth Hospital.

Support organisational workforce planningby helping managers make informed staffing decisions based on accurate, timely information.

Maintain strong communication channelsbetween clinical areas, management teams and staffing resources to ensure transparency and responsiveness in staffing arrangements.

Promote compliance with Trust policies, rostering standards and governance requirements by ensuring accurate handling of staffing information and adherence to best practice.

Contribute to service improvementby recognising emerging staffing trends, highlighting risks, and supporting the development of more efficient rostering and workforce processes.
