Summary
An exciting opportunity has arisen to join our General Surgery Team as an admin support officer. This role would include providing administrative support to both clinical and admin teams within the general surgery service.
To deliver specialised, comprehensive and confidential patient-centred administrative support to medical secretaries and their teams, in line with departmental, Trust and national standards, policies and procedures."

1. To act as support for patient and staff enquiries and admin duties within the General Surgery team. Ensuring tasks are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained.
2. To ensure, wherever possible, that all clinical documentation is up-to-date, in an orderly fashion and available on the relevant systems. This will require effective collaboration with all relevant personnel to maintain an efficient administrative system; prompt transcription, manipulation and distribution of appropriate correspondence, organised scanning and filing consistency.
3. To maintain an efficient handling of advice and guidance requests and E-referrals, ensuring these are sent out and responded to within target deadlines. To escalate any queries to medical secretaries or admin manager if necessary.

• To undertake general office duties such as typing, photocopying, scanning and uploading/downloading information to/from external agencies efficiently and effectively. To review stationary levels and inform appropriate person when necessary.
• Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines.
• To receive all incoming post, sorting and distributing it throughout the department.
• To support with the booking, re-scheduling and cancellation of outpatient appointments.
• Provide appropriate cover in the absence of other members of the team.
