Summary

We are now recruiting for an Estates Operations Support Manager!

The successful candidate will play a central role within the Estates team for the Health Assessment Advisory Service (HAAS) at Capita. You will provide essential administrative, coordination, and operational support across the estate, including attending and supporting supplier, client, and internal meetings; maintaining and chasing action logs; preparing and collating materials meetings; and supporting documentation, reporting, and estates related activities.

This is a home based role.

This is a 6 month FTC (with potential for extension)

What you'll be doing:

• Attend and support client, supplier, and internal operational meetings.
• Capture, log, and proactively chase meeting actions to ensure timely completion and strong governance.
• Provide structured meeting preparation and follow ‑ up support,, including collation of materials and updating trackers.
• Assist with documentation and reporting for estates ‑ related activities, including site information, compliance updates, and operational reporting.
• Maintain accurate trackers, logs, and action records to support governance and operational oversight.
• Support estate ‑ related operations, including clinic capacity, room suitability, and health & safety requirements.
• Ensure clear, consistent, and timely communication across internal teams, suppliers, and client partners (e.g., DWP, Maximus).
• Prepare and distribute documentation, updates, and meeting outputs to ensure alignment across stakeholders.
• Strengthen operational governance by ensuring administrative tasks, documentation, and estates actions are completed to required standards and deadlines.

What we're looking for :

Essential

• Strong administrative and organisational skills with the ability to manage multiple tasks simultaneously.
• Experience maintaining trackers, logs, reports, and structured documentation.
• Excellent communication skills, with confidence engaging at all levels, including suppliers and clients.
• Ability to work independently and proactively chase actions, deadlines, and updates.
• Proficient in Microsoft 365 tools (Teams, Excel, Word, SharePoint, OneNote).

Desirable

• Knowledge and experience of using CASPER.
• Proven planning and organisational capability.
• Ability to influence effectively, including with senior stakeholders.
• Customer‑focused and commercially aware mindset.
• Experience within an estates, operational, government‑contract, or compliance‑driven environment.
• Understanding of HAAS, PIP, WCA, or similar assessment service structures.
• Familiarity with coordinating stakeholders such as DWP, Maximus.

About HAAS

The Health Assessment Advisory Service (HAAS) arranges and carries out assessments for the Department for Work and Pensions (DWP) and the Department for Communities (DfC). The purpose of the assessment is to understand how an illness or disability affects a person's daily life. After the assessment, the DWP/DfC makes the decision as to whether the individual will receive any benefits. The Health Assessment Advisory Service is delivered on behalf of the DWP & DfC by Capita.
