Job Title: Operations Administration Specialist (Shipping Office)
Location: Heston, Middlesex
Shift Pattern: 4 on / 4 off (19:00-07:00)
About the Role
We are looking for an Operations Administration Specialist to join our busy shipping office team. This role provides logistics and administrative support for on-site operations, ensuring aircraft spares and related documentation are processed accurately and on time. You will work closely with operations and warehouse teams to meet key performance indicators (KPIs) and maintain high service standards.
Key Responsibilities:
- Prepare shipping documentation for domestic and international distribution of aircraft spares
- Process work in line with customer KPIs and internal procedures
- Update and operate multiple operating systems and databases
- Liaise with supervisors to prioritise daily tasks and manage workloads
- Work collaboratively with all departments and across shifts to ensure smooth operations
- Assist the warehouse team with data uploads and system updates
- Support collecting agents on arrival and handle related documentation
- Monitor emails and dashboards to ensure urgent shipments and returns are processed on time
- Carry out additional administrative and operational tasks as required
Working Environment:
- Primarily office-based, with occasional interaction in warehouse areas
- Use of standard office IT systems and material handling equipment
Skills & Experience:
- Good general education, with strong numeracy and literacy skills
- Previous experience in export, logistics, or customer service (preferred)
- Strong PC skills, including Microsoft Office and Outlook
- Familiarity with logistics or shipping systems (e.g., SAP, TE2, CSP) is advantageous
- Experience with courier systems (e.g., FedEx, DHL, UPS, TNT) and database processing is beneficial
- Proactive, organised, and able to work to deadlines
- Strong teamwork and communication skills
