Summary

JOB DESCRIPTION GP ASSISTANT Reporting to The Practice Manager Location Ling House Medical Centre Hours of work 32 - 37 hours per week working Monday to Friday Job Role To provide effective support to the Clinical, Management and Administrative Team General Practice Assistants GPAs form part of the multi-disciplinary team within primary care and support the clinicians in the smooth running of the surgery by handling routine administration enabling the clinician to focus on the patient. The responsibility of the role is to provide support to the following teams All tasks should be carried out in accordance with Practice policies and procedures. Main responsibilities of the role GP/Clinician Sending out bulk texts and invitation links for various clinics to patients as and when required Data quality, check clinical coding is correct and the latest QOF codes and templates are being used. NHS health check invites and code checks Review and recalls for DMARDS/QOF Complete clinical audits when requested Tackling Health Inequalities, promoting patient engagement and health promotion Arranging appropriate referrals, signposting patients, arranging tests and follow up appointments of patients Liaise with hospitals and clinics to arrange urgent/emergency appointments Completing basic (non-opinion) forms and core elements of some forms for the GP to approve and sign such as insurance forms, benefits agency forms etc. Helping GP/clinicians liaise with outside agencies e.g. getting an on-call doctor on the phone to ask advice or arrange admission while the GP can continue with their consultation(s) Extracting information from clinical letters that need coding; adding this to patients notes. Supporting with QOF reviews. Process online medical access requests Prepare month end claims to the prescribing authority Assist with the preparation and running of covid, flu and other clinics Fast track follow ups Advice and guidance referrals and task management Administration Support Process new patient registrations and deductions Process records in/out. Code and keep a log of records and Lloyd George received Check Electronic Referral System (ERS) worklist daily and carry out actions Check cytology pre-notification lists and telephone patients for QOF Reports Batch reports received via tasks Support secretaries and cover when off Sending of reminders for overdue childhood immunisations and follow up with a phone call Process patient referrals and send electronically or hard copy Type reports, letters, and other correspondence Deal with queries regarding choose and book referrals Report building repairs to BDCT and chase up when required Deputise as Fire warden when required Safeguarding Work with the Practice Manager and Safeguarding Leads to run the safeguarding system to ensure robust systems in place to follow up safeguarding concerns. Checking unassigned tasks from outside agencies. Maintain the register, update codes and information and provide up to date reports and documentation when required for meetings. Meetings Attend and participate in practice and administrative team meetings and PLT. Communication This job involves contact with patients and public and staff from other healthcare providers in addition to the day-to-day communications with internal and external colleagues, therefore the role requires excellent customer care skills, polite manner both on the phone and face to face as well as excellent written communication skills. Competencies and professional development This role requires the following competence and commitment to continuing professional development (CPD). Experience of working in a GP/NHS setting in an administrative role A secretarial or administrative qualification at the equivalent of NVQ level 2 or higher. Evidence of understanding of medical terminology, either from a course, a qualification (e.g., medical secretarial) or experience. Participation in annual appraisal and personal development planning. Undertake training and development as agreed with the line manager at appraisal.
