Summary
General and Administrative Duties Organisation and Planning skills are key requirements of the role. The post-holder will be involved in a broad range of tasks including: Working closely with the Severn Trauma Manager to assist in projects to improve the patients care pathway. Preparing reports as required including data, diagrams and graphs etc. Ensuring smooth administration and running of the Network office, including drafting and typing of letters and reports as requested. To co-ordinate the Network Trauma meetings which will include the following in addition to any new ones that may be established: Network Executive Board Network Advisory Group (CAG) Rehabilitation Advisory Group Network Frailty Group Anticipate and prepare papers for meetings ensuring that all agendas, previous minutes and other papers are issued and circulated appropriately and on schedule and followed up where required. Minute taking and action tracker management; ensuring information is shared after meetings in a timely manner, uploading minutes onto the website, and undertaking tasks as delegated by these groups. Preparing material, slides and presentations for meetings and conferences, using various software packages including spreadsheets. Attend Network meetings, taking formal/informal minutes as required. General event management; organise workshops / events / meetings; this includes booking rooms, catering, presentation equipment, and liaison with presenters before and on the day. Maintain the Network Logs/Registers (Training, Risk, Governance Issue, Policies and Change control) Maintain and update information leaflets, website content and newsletters as directed by Severn Trauma Manager. Collate and edit submissions for each new edition. Participate in interdisciplinary discussions/ meetings. Relay information on elements of good practice and areas for improvement to appropriate groups to ensure continued improvement and high standards of management, treatment, patient experience and overall service delivery within the network. Undertaking general office functions such stationary and other orders, booking of courses, conferences, travel, and accommodation. Work on your own initiative whilst being cognisant of the overall strategic and Network aim and responsibilities. Supporting work stream leads in the development of their improvement projects with tasks such as project scoping, setting up task and finish groups. Be dynamic and responsive, prioritising any other delegated duties as designated by the network leads being flexible with changing priorities. Finance and Resources: Place and receipt orders. Manage invoices to ensure prompt payment, working closely with Trust finance colleagues as appropriate and within Network allocation of budget. Information Resources & Data Co-ordination The requesting of information for patients included in Trauma Audit & Research Network (TARN) to support performance reporting and benchmarking for the Network. Support and promote trauma audit, liaising with clinical, audit and clerical staff to ensure the availability of good quality data. Manipulation of Network data to create regular reports, which will include data, charts and graphs showing trends, changes and anomalies and ensuring the narrative for reasons around deviations and variation is understood/clear. This may include data relating to national standards, performance and waiting time information from Trusts or other areas of data management. Reports will need to be of Board-level quality. Collate the TARN reports from the member Trusts into one overall report for the Network. Liaise with TARN as appropriate for issues such as special reports, data capture for research projects etc. Act as a central support resource if/when required for areas such as research or audit within the network. To co-ordinate the collection, collation and analysis of audit data. Effective use of IT systems and packages including but not limited to: risk and incident management; Microsoft PowerPoint, Word and Excel (including pivot tables etc.); bespoke clinical systems; Network website Content Management System; purchasing and invoicing systems. Governance Maintain the Network Governance Issues register and monitor the status of cases, ensuring that all new issues are brought to the attention of the Clinical Leads and Severn Trauma Manager. Work with the Clinical Governance Lead to ensure that responses to governance issues raised are available to the appropriate clinical lead as promptly as possible. Work with the Severn Trauma Manager to redesign Trauma documentation (e.g., trauma booklets) and Network documentation as necessary. Administration of Clinical Governance Meetings. To include organising MS Teams meetings/ teleconference/videoconferencing facilities, capturing of notes and actions, attendance records and apologies. Provide support to the Clinical Director and Severn Trauma Manager in the collation of information required for the National Peer Review process and visits. Communication Act as a contact and liaison point for the Network team. This will include communication with patients, families, clinicians, other providers within the Network, charities, commissioners and other agencies, both face to face, by email and on the telephone. Appropriately deal with all enquiries in a responsive and professional manner to always ensure a positive image. Liaise with all disciplines of staff, both within and outside the Trust and Network to ensure that effective communications are maintained. Establish and maintain network distribution and circulation lists, both manual and electronic and keep up to date according to changing needs. Ensure effective electronic communications across the Network, including supporting delivery of the Network newsletter, meeting minutes/action logs, formal and informal presentations and management of content on the Network website and social media channels. As such, attention to detail is of paramount importance. Ensure that the network website is well maintained, and that the information is kept up to date; Regular checks are required to ensure that content is current and accurate including services, policies, guidelines, standing operational procedures (SOPs) people, contacts, patient information is reliable and correct. Further develop the website under the direction of the Clinical Director and Severn Trauma Manager, working with the appropriate clinical and IT staff. Support the preparation, drafting and issuing of Network communications. Ensure that all information regarding relevant Trauma training and Education is distributed throughout the Network. Support the Network team with patient engagement activities. This may include surveys, events or written communication which require a response or coordination of information in a presentable format. Develop and maintain working relationships with other trauma Networks, including Peninsula and Wessex Trauma Networks in addition to other operational delivery networks, for example Critical Care, Burns, Spine, Spinal Cord Injury (SCI) and Southwest Ambulance Service Foundation Trust (SWASFT) and Retrieve (Adult Critical Care Transfer Service) Liaise with a wide range of external organisations and stakeholders relevant to the role e.g., coroners office, Ambulance Services, and other NHS providers to ensure that effective communications are maintained. Other Use own initiative to overcome problems and drive progress, whilst knowing when it is necessary to escalate issues or seek further help or guidance. Work within the boundaries of all relevant Trust and Network policies and always comply with the Data Protection Act and Information Governance The work is mainly office based, and the post holder is a Display Screen Equipment (DSE) user. There may be a frequent requirement for sitting in a restricted position. Light or occasionally moderate physical work such as filing or carrying PowerPoint equipment etc. to meeting rooms. Concentration is required when taking minutes, typing, reading shorthand or other notes. There will be a frequent need to complete work to tight timescales ensuring deadlines are met. This post may be required to undertake travelling locally, regionally and nationally.
