Summary
The Operational Support Assistant will provide essential administrative and operational support to both clinical and operational teams, ensuring the smooth delivery of services and compliance with Trust standards. This role involves coordinating meetings, preparing reports, managing data, and supporting key processes such as health and safety, procurement, and patient administration. The post holder will play a vital role in maintaining accurate records, facilitating communication, and assisting with service development initiatives to enhance patient-centred care. Strong organisational skills, attention to detail, and the ability to work collaboratively across departments are essential.

• Report Preparation and Data Analysis: Collect, compile, and analyse data to produce accurate reports for meeting, including monthly QIPs, quarterly dietetic meetings, and monthly Speech & Language Therapy (S<) meetings, ensuring alignment with departmental objectives.
• Performance Reporting: Gather, organise, and interpret data to produce reports aligned with key performance indicators (KPIs), supporting continuous improvement and informed decision-making.
• Meeting Coordination: Prepare agendas, supporting documents, and action trackers; take minutes; follow up on agreed actions; and manage all logistical arrangements for departmental meetings.
• Operational Support: Coordinate cross-departmental tasks such as e-roster scheduling, assist with e-job plan updates, and support data inputting onto the ESR system to maintain workforce efficiency.
• Health & Safety Compliance: Maintain and update departmental risk assessments and safety documentation in accordance with Trust standards, under the guidance of the Head of Service.

• Equipment Management: Oversee the allocation, maintenance, and tracking of departmental and student equipment to ensure availability and compliance.
• Information Management: Organise and maintain teams’ folders and departmental files to support accessibility and data integrity.
• Communications: Draft and distribute the departmental newsletter to keep staff informed of updates, initiatives, and key developments.
• Financial Administration: Process and manage invoices to ensure accuracy and timely payment
• Procurement Support: Coordinate the ordering of office and nutritional supplies, monitor stock levels, and maintain accurate inventory records for the department.
• Patient Administration: Review and follow up on Did Not Attend (DNA) appointments to support patient flow and service efficiency.
• Advice & Guidance Monitoring: Provide non-clinical support by conducting weekly checks of advice and guidance requests and responding promptly to GP queries to maintain service standards.
• Service Development Support: Assist the Head of Service in developing and delivering high-quality, patient-centred care within available resources.
• Project Support: Provide administrative assistance to Managers, Service Leads and Clinical teams on service development initiatives and project work.
