Our client is a vibrant, fast-paced and growing packaging and design company looking for a highly organised, proactive Project Assistant / Team Administrator to join their London team.
This role is ideal for someone who thinks ahead, takes ownership, and is genuinely confident on the phone. You will be a central point of contact for clients, suppliers and internal teams, helping ensure that packaging projects run smoothly, professionally and on time.
The Role
You will play a key role in the day-to-day running of the office and client projects, acting as the first point of contact for incoming calls, emails and enquiries.
This is a phone-heavy role. You will regularly:
- Speak with clients about orders and delivery updates.
- Chase invoices and payments professionally and confidently.
- Liaise with suppliers, couriers and internal teams.
You will also be responsible for:
- Processing purchase orders and entering client details accurately into the CRM.
- Preparing job documentation and tracking projects daily.
- Coordinating couriers and shipping and following up after deliveries.
- Producing activity reports, taking meeting minutes and drafting proposals.
- Uploading documents to the Cloud and maintaining organised digital records.
- Receiving and sending samples, handling post and deliveries.
A key part of the role is thinking ahead. You will be expected to:
- Anticipate when supplies or materials need re-ordering before they run out.
- Flag issues early and propose solutions.
- Take initiative rather than waiting for instruction.
At a later stage, you will also be expected to:
- Assist with the organisation and preparation of UK trade shows (a few times per year).
- Attend trade shows with the team, supporting stand organisation, client enquiries and follow-ups.
- Help ensure smooth coordination before, during and after events.
- You will work closely with a small team in the London office and have regular Zoom communication with the team in Lithuania, so clear communication and reliability are essential.
What They're Looking For
This role will suit someone who is:
- Exceptionally confident and professional on the phone (this is non-negotiable).
- Organised, detail-driven and able to manage multiple tasks simultaneously.
- Naturally proactive and comfortable making decisions.
- Calm, friendly and professional when dealing with clients and suppliers.
- Comfortable representing the company in person when required.
- Happy working in a small, close-knit team environment.
Essential experience:
- Proven administrative experience in a busy, customer-focused office environment.
- Excellent written and spoken English (A-level / GCSE equivalent or higher).
- Strong attention to detail and follow-through.
Desirable (but not essential):
- Experience using Salesforce and/or Xero.
- Experience in project-driven, logistics or customer-facing roles.
- Experience supporting events or trade shows.
