Role Overview:

The Baby Bank Manager will oversee the full operation of the baby bank, from managing donations to volunteer coordination and reporting. The role requires ensuring efficient processes, transparent systems, and a high-quality service to meet the needs of our families.

Key Responsibilities:

Operations
• Manage all aspects of the baby bank, including stock control, donation logistics, and reporting.
• Ensure donations are properly stored, tracked, and distributed efficiently.
• Maintain safe and organized stock levels, liaising with donors and management to replenish low-stock items promptly.
• Record all incoming and outgoing donations, produce reports, and track engagement with donors and volunteers.
• Assess the value of all donations for annual reporting purposes.
• Act as a keyholder, receiving deliveries and ensuring site security.
• Build and maintain relationships with community and corporate donors.

Volunteer Management
• Collaborate with the Office Manager to recruit, onboard, and retain volunteers.
• Train, empower, and oversee the volunteer team to ensure a supportive and welcoming environment.
• Implement systems for volunteer supervision, including regular team meetings and individual support.
• Facilitate corporate and group volunteer days as required.

Referrals Fulfilment
• Ensure a welcoming environment for families visiting the baby bank.
• Identify and implement best practices for service delivery to families.
• Oversee the preparation and packaging of weekly referrals, aligning with available stock and family needs.
• Ensure accurate and timely data uploads for monitoring and reporting purposes.
• Oversee the quality and safety of all incoming and outgoing items, including safety checks for equipment and ensuring hygiene standards.
• Ensure compliance with health and safety standards in the workspace.

Partnerships & Stakeholder Engagement
• Identify, build and nurture relationships with major donors, trusts, foundations, and corporate partners to increase long-term giving.
• Develop and implement strategic engagement plans to strengthen partnership ties and maximise funding opportunities.
• Identify new funding prospects through research and stakeholder outreach, aligning opportunities with organisational priorities.
• Manage a portfolio of key supporters, ensuring timely communication and stewardship to enhance donor retention.

Facilities Management
• Manage the baby bank’s physical space, including cleanliness, shelving, and storage solutions.
• Ensure waste is disposed of appropriately and that the space is consistently well-maintained.
• Work with the Office Manager to coordinate site monitoring and maintenance.

Person Specification

Essential
• Experience in business/project management/ voluntary sector or community initiatives.
• Experience in line management, particularly working with volunteers.
• Strong communication, interpersonal & relationship building skills (written and oral).
• Strategic mindset & ability to engage with diverse stakeholders, from CEOs to service users.
• Creative and resourceful in sourcing items and solving problems.
• Ability to remain calm under pressure and maintain high standards.

Desirable
• Proven experience in non-profit management/ leadership.
• Experience in fundraising, procurement, Tenders or Contract management.
• Knowledge of the local community and areas of deprivation.
• Experience in children & family services.
• Event management experience.
