We are seeking a proactive and personable Receptionist who will act as the first point of contact for visitors and callers, while supporting the smooth day-to-day running of our offices. This is a varied role suited to someone who enjoys multitasking, taking ownership, and delivering excellent customer service.
Key Responsibilities
Front-of-House & Communication
• Act as the first point of contact for customers and visitors, providing a warm and professional welcome.
• Answer incoming phone calls, monitor shared inboxes, and ensure clear and timely communication across teams.
Client & Visitor Support
• Greet visitors, manage incoming and outgoing post, and support client onboarding processes where required.
Meeting & Training Coordination
• Schedule meetings and training sessions, prepare meeting rooms, and ensure all materials and refreshments are ready.
• Book staff training and maintain CPD records accurately.
Office & Facilities Management
• Oversee office supplies, placing orders as needed and ensuring all consumables are fully stocked.
• Carry out regular checks to ensure the office is clean, organised, and fully maintained.
• Maintain meeting rooms and kitchen areas, ensuring high standards of cleanliness throughout the day.
Maintenance & End-of-Day Operations
• Identify and report maintenance issues or repairs promptly.
• Close down the office at the end of the day, secure shutters, and ensure all daily tasks have been completed.
Administrative Support
• Provide ad-hoc administrative assistance to senior leadership as required.
Skills & Experience
• Excellent written and verbal communication skills.
• Highly organised with strong attention to detail.
• Ability to manage multiple tasks, prioritise effectively, and work independently.
• Friendly, professional, and customer-focused approach.
