Summary

Hours: 37 per week

The Role
The Business Support Officer will provide comprehensive administrative and clerical support across Democratic Services, Elections and Electoral Services. This role also includes direct support to the Head of Democracy, including work relating to the Local Resilience Partnership and Health & Safety matters. The postholder will play a key part in maintaining accurate records, supporting statutory electoral functions, and ensuring smooth operational delivery across the service.

Key Responsibilities
Provide administrative and general support to the Head of Service, including diary management, meeting arrangements, correspondence and handling confidential information.

Maintain and update web and intranet content relevant to the service.

Co‑ordinate and book training sessions and events for senior managers, primarily relating to Resilience.

Liaise with partners, clients and internal teams to support information flow and respond to enquiries.

Format documents, reports and templates to a high standard.

Manage own workload independently and work collaboratively to meet deadlines.

Support work linked to committees, sub‑committees, partnerships and working groups, including research tasks.

Elections & Land Charges:

Assist with compilation, publication and maintenance of the Electoral Register and Absent Voters lists.

Support maintenance of the electoral registration database, including processing applications and updating records.

Assist with arrangements for Borough, Parish, County, PCC, Parliamentary elections and referendums.

Support preparation of documentation and materials for electoral events, including ballot boxes, poll cards and postal vote processes.

Ensure information is managed securely and report any data breaches in line with Council policy.

Candidate Requirements
Essential
Educated to O‑Level or equivalent, or demonstrable relevant experience.

Recent and general office administration experience.

Experience dealing directly with customers.

Strong IT literacy, including MS Office.

Accurate data input and information management skills.

Ability to follow procedures and complete tasks thoroughly.

Organised approach with the ability to meet deadlines.

Experience using a variety of software packages and databases.

Strong communication skills (written, telephone and face‑to‑face).

Tact, diplomacy and a flexible, team‑focused approach.

Ability to work under pressure with minimal supervision.

Commitment to customer care.

Availability to cover team absences at short notice.

Understanding of and commitment to equal opportunities.

Ability to perform all duties with reasonable adjustments where required.

Willingness to work outside normal office hours on occasion.

Ability to travel throughout the Borough.

Desirable
CLAIT or equivalent IT qualification.
