About the role...
As a People Services Administrator, you'll be at the heart of the employee experience at The Gym Group. You'll be the first point of contact for our people and managers, making sure they get clear, timely support across every stage of the employee lifecycle - from onboarding through to offboarding.
This is a hands-on, service-led role where accuracy, pace, and people skills all matter. You'll manage People queries through our case management system, support colleagues with our People systems (including Workday), and make sure our data is accurate and up to date. You'll also work closely with the wider People team to ensure our processes are simple, joined-up, and genuinely helpful.
Most importantly, you'll help take the stress out of People processes - breaking things down, solving problems, and making it easy for our teams to get the support they need.
You'll be responsible for:
- Acting as the first point of contact for People and People Systems queries via Fresh Service
- Managing and resolving cases in line with agreed service levels
- Supporting the full employee lifecycle, from onboarding to offboarding
- Processing employee changes accurately and on time in Workday
- Managing People dashboards and ensuring actions are followed up
- Responding to reference requests and system access queries
- Supporting employees and managers with day-to-day People questions
- Working closely with the wider People team to deliver a seamless experience
- Spotting opportunities to improve our processes and systems and helping bring those improvements to life
About you...
You're someone who enjoys helping others and takes pride in delivering a great service. You're organised, calm under pressure, and comfortable juggling multiple priorities in a fast-paced environment. You've got a great eye for detail but never lose sight of the person behind the process.
You're confident communicating with people at all levels, able to explain things clearly and build trust quickly. You're proactive by nature - you don't just fix problems, you look for better ways of doing things and speak up when you spot them.
You'll bring:
- Strong attention to detail and the ability to work accurately at pace
- Excellent communication and interpersonal skills
- A positive, service-focused mindset
- Confidence working in a fast-moving, changing environment
- The ability to prioritise, stay organised, and manage a varied workload
- A proactive approach and strong problem-solving skills
- The confidence to support and guide managers when needed
It would be great if you also have:
- Experience working in a People or HR team
- Experience using HR systems (Workday experience is a bonus)
- Experience using a case management system such as Fresh Service
- A degree or CIPD qualification (or equivalent)
- A basic understanding of People processes such as right to work checks and leave types
