Summary

We are looking for an organised and detail-focused Administrator to support our Engineering client in Irvine. The contract will be for 3 months initially, with potential for extension.

Key Deliverables:

- Accurate and up-to-date maintenance of the Purchase Order (PO) register and associated task codes.
- Timely and accurate raising, receipting and confirmation of material and subcontract purchase orders.
- Early Warning Reports (EWRs) raised and issued in line with project and commercial procedures.
- Correct and punctual processing of weekly and monthly timesheets.
- Monthly applications prepared and submitted accurately to support commercial reporting.
- SORS, QORs and audit documentation maintained to a high standard and available when required.
- New starter documentation completed and Fieldglass onboarding processed without delay.
- Stationery and site supplies ordered and managed to ensure uninterrupted site operations.
- Consistent administrative support provided to site, project and commercial teams.
- Ad hoc administrative tasks completed efficiently to support overall project delivery.

Key Requirements:

- Proven experience in a Site Administrator or similar administrative role, ideally within a construction, engineering or infrastructure environment.
- Experience maintaining purchase order registers and raising material and subcontract purchase orders.
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
- High level of accuracy and attention to detail when handling documentation and data entry.
- Competent IT skills, including Microsoft Office applications such as Word and Excel.
- Ability to communicate effectively with site teams, subcontractors and project stakeholders.
- Proactive, reliable and adaptable, with the ability to support changing site and project demands.
- Ability to work independently while also contributing effectively as part of a team.
