Summary

We are working closely alongside with a local authority in Sefton MBC to assist with the appointment of a Personal Assistant on a 3.5-months contract, highly likely to be extended at clients discretion. Please apply with your CV for immediate consideration.

Summary:

As a Personal Assistant at Sefton MBC, you will provide high-level, confidential administrative support to senior management or departmental leads. You will act as the primary point of contact, ensuring the efficient management of their time and the smooth operation of the office. This role is vital in helping council leaders focus on strategic priorities by managing complex schedules, coordinating meetings, and handling sensitive correspondence within a fast-paced public sector environment.

Responsibilities:

Proactively manage complex calendars, prioritizing urgent meetings and resolving scheduling conflicts. Filter and respond to emails, often acting on behalf of the manager.
Maintain efficient electronic and paper filing systems, ensuring compliance with GDPR and data protection policies.
Assist with departmental projects, tracking deadlines and following up on delegated tasks to ensure completion.
Process invoices, monitor small budgets, and manage expenses in line with Council financial regulations.
Qualifications:

Minimum of 5 GCSEs (Grades A*–C or 9–4), including English and Mathematics, or equivalent.
An NVQ Level 3 or 4 in Business Administration, or a recognized secretarial qualification (e.g., RSA, Pitman), is highly desirable.
Essentials:

Significant experience working as a Personal or Executive Assistant, preferably within a local authority or large public sector organization.
An understanding of working within a political environment and the ability to maintain strict confidentiality regarding sensitive council matters.
Excellent written and verbal communication skills, with the ability to build relationships at all levels of the organization.
