About the Role

We’re recruiting a Digital Transformation & Systems Manager to play a pivotal, cross‑departmental role in our organisation. Accountable to the Director of Finance and Resources, you’ll lead the adoption, integration and optimisation of our organisation-wide digital systems (including Microsoft 365, SharePoint, and AI tools), You will partner closely with colleagues across departments and our external ICT provider to ensure solutions are fit for purpose, interoperable where feasible, secure and compliant, while enabling collaborative ways of working and delivering clear, measurable outcomes. You will champion digital transformation, lead staff training related to digital platforms and transformation initiatives, uphold robust data governance and compliance, define and track KPIs, and communicate progress and value delivered across the organisation


Key Responsibilities


Systems coordination & process improvement: Maintain the register of organisational systems, owners and data flows, and backup protocols. Map and document processes, identify opportunities for streamlining, automation, and improved cross-departmental collaboration.
Digital transformation enablement: Chair digital transformation meetings, set agendas, track progress and actions, and lead pilots or rollouts of new tools and technologies. Capture and analyse user engagement and feedback to inform ongoing improvements.
AI strategy & integration: Lead the evaluation, adoption, and governance of AI tools and capabilities, ensuring their safe, ethical, and effective use in line with organisational policy and compliance frameworks.
SharePoint/intranet site coordination: Collaborate with content owners, review permissions and navigation, and liaise with the ICT support team to implement improvements that improve usability and compliance.
Training & resources: Direct, design, and deliver practical training on Microsoft 365, SharePoint, AI, and other core ICT tools. Develop and maintain user guides, FAQs, and digital resources to support digital literacy across the organisation.
Governance & compliance: Ensure robust documentation of data ownership and backup arrangements. Lead and support the development and implementation of digital governance frameworks and compliance checks (e.g., GDPR, data security.
Data quality & insights: Assist with the development and maintenance of digital transformation and systems dashboards. Use system and user data to inform decisions, drive improvement, and track KPIs for digital transformation initiatives
Continuous improvement & risk: Promote and embed a culture of continuous improvement by sharing best practice and lessons learned. Lead on risk identification and mitigation for digital projects and systems.



About you

You’re a confident, hands‑on manager who makes complex things simple and brings people with you. You can set direction, prioritise effectively, and turn ideas into secure, compliant, user‑centred solutions. Experience working with Microsoft 365 and SharePoint is essential; along with familiarity with AI tools and responsible adoption.
