Summary

The Role: Galtres Centre Manager
Job Location: Galtres Centre, Market Place, Easingwold, North Yorkshire YO61 3AD
Working Hours: 37.5 hours/week, Monday to Friday
Salary Range: circa £35,000 per annum
Benefits: 25 days holiday per annum (plus bank holidays), pension, free parking
Line Manager: Vice Chair of the Trustees

JOB PURPOSE:
The Galtres Centre provides a wide range of facilities and activities for the community providing a safe place of connection for everyone. The purpose of the role is to ensure the effective operation and administration of the Centre whilst retaining a welcoming environment. The role is pivotal in maintaining the safe and smooth running of the Centre for the community. There is opportunity to shape future operations and to evolve the success of the Centre. The Centre is supported by many volunteers and overseen by a Board of Trustees. A key part of the role is effective support and communications with the Trustees/Directors, staff, volunteers and groups. The role is responsible for efficient bookkeeping and supporting a team to work effectively in a busy and vibrant environment.

KEY AREAS OF RESPONSIBILITY:
Centre Operations
•Responsible for the efficient, safe, legal and welcoming day to day operations of the Galtres Centre
•Lead and collaborate with a team of paid staff to ensure that the office runs efficiently to meet the requirements of the Centre and that all diaries are maintained accurately
•Delegate, train, appraise and support staff to ensure they are successful in achieving their agreed responsibilities
•Work with the team to ensure that the office is staffed at all times during working hours and that enquiries (in person/email/phone calls etc.) are responded to with respect and efficiency
•With input from relevant parties, review and implement effective processes within the office and across the Centre to support volunteer groups, bookings and visitors
•With input from relevant parties and working closely with the Trustees, review operations across the Centre and propose developments to support the continued success and relevance of the Centre e.g. use of technology
•Work collaboratively with Centre groups to provide support for effective and timely promotional activities to maximise attendance at events and use of facilities e.g. centre website, social media, local connections
•Responsible for the efficiency of the Box Office ticketing system and maintaining a record of sales
•Coordinate with Centre staff and volunteers to ensure that all facilities are maintained safely and securely
•Ensure timely production and distribution of documents relating to the quarterly Board of Trustees/Directors and other Committee meetings where necessary
•Attend and report at the quarterly Trustee meetings
•Work effectively with outside agencies including Councils, HMRC, People’s Pension, Charity Commission, Companies House, Information Commissioner
•Act as the focal point for Centre Health and Safety, coordinating with the appointed Health and Safety Officer
•Acting as the Premises Licence Holder for the Centre

Bookkeeping
•Assist the Treasurer with monthly management accounts and required financial reports
•Prepare and run monthly payroll for Centre staff including managing pension contributions
•Ensure payments are made and processed for all incoming fees and invoices, using online banking when appropriate, and create, distribute and monitor outgoing invoices as required
•Manage and where relevant follow-up with debtors and creditors
•Ensure reconciliation of daily cash and card takings for trading activities, accurately maintaining floats and petty cash
•Maintain accurate accounting records in line with government legislation
•Assisting as necessary with the Accountant’s quarterly and annual reports
•Any and all other general bookkeeping duties

•On occasion, work weekends and evenings from time to time as required
•Any other duties that may from time to time be required by the Board of Trustees/Directors or which are reasonably required to ensure the safe and smooth-running of the Centre.
