Programme Overview

The Restart programme offers enhanced support to Universal Credit claimants who have been out of work for at least 6 months to find jobs in their local area. Starting at the end of June 2021, it will benefit more than 1 million Universal Credit claimants who are expected to look for and be available for work but have no sustained learnings. The scheme will provide up to 12 months of tailored support for each customer. Palladium will work with employers, local government, and other partners to deliver tailored support for individuals.

The role is located in Southampton

The Office Coordinator will report to the Business Manager.

Primary Duties and responsibilities:

The Office Coordinator is responsible for providing general office administrative duties, answering first line customer queries and providing an excellent customer focused service, in a result driven environment.

Responds to first line enquiries from customers or colleagues, managing the arrival of customers on site and sign posting effectively to the relevant activity and colleagues;

Be the Customer Service Champion for the office;

Administration of Petty Cash and assist with associated payments following all processes and procedures for ordering, distributing, and managing petty cash;

Ensures the weekly petty cash audit is completed and uploaded, and that all records are stored correctly in line with organisational policy

Follows and completes procurement processes for new vendors, ensuring all required documentation, approvals and compliance steps are met in line with organisational policy

Capture walk in referrals in a timely manner and work closely with branch engagement team to ensure referrals can be processed in line with agreed service level agreements (SLAs);

Collate “good news” stories working closely with Employment Advisors, Employer Consultants, and customers, liaise with marketing and social media teams to ensure these are shared internally and externally with relevant third-party organisations (e.g. Job Centres);

Locates and extracts specified information from files, document and records as requested to support analytical or reporting requirements and to support quality and compliance within branch;

Assist with asset management processes, including maintaining accurate asset records, coordinating the allocation and return of equipment, and supporting stock checks where required.

Any other ad hoc duties in line with delivery program requirements

Required :

Experience of general office administrative duties;

Experience of answering first line customer queries and providing customer focused service delivery in a result driven environment;

The ability to build rapport and work effectively in a sometimes-challenging environment;

Experience of appropriate IT systems including Microsoft office packages and databases.

Experience of money handling, financial processes and invoicing, ensuring accuracy and compliance with organisational procedures
