Rate: PAYE £16.80 per hour / Umbrella £21.81 per hour

The Role
The Service Support Officer (Reception) will provide front‑of‑house support within Children’s Specialist Services. This role is central to ensuring a welcoming, safe and well‑organised reception environment, supporting staff, visitors and service users with efficiency and professionalism. The postholder will act as the first point of contact, managing enquiries, maintaining accurate records and supporting administrative processes across the service.

Key Responsibilities
Provide a professional reception service, greeting visitors, managing sign‑in procedures and ensuring safeguarding protocols are followed.

Handle incoming calls, emails and enquiries, directing them appropriately and ensuring timely responses.

Maintain accurate records, logs and documentation in line with service requirements.

Support administrative tasks including filing, scanning, data entry and document preparation.

Ensure reception and waiting areas remain safe, tidy and compliant with organisational standards.

Liaise with staff across Children’s and Adults’ Services to support smooth service delivery.

Manage room bookings, appointments and visitor schedules where required.

Provide support to service users, including vulnerable families, with sensitivity and professionalism.

Follow all confidentiality, data protection and safeguarding procedures.

Undertake any additional duties aligned with the scope and purpose of the role as directed by the manager.

Candidate Requirements
Experience in a reception, customer service or administrative role.

Strong communication skills with the ability to engage confidently with staff, visitors and service users.

Excellent organisational skills and attention to detail.

Ability to manage competing priorities in a busy front‑line environment.

Confident using IT systems, including Microsoft Office and internal databases.

Professional, calm and approachable manner.

Understanding of safeguarding, confidentiality and data protection requirements.

Ability to work effectively within Children’s and Adults’ Services settings.
