Summary
Key Responsibilities and Duties: To support the Head of Nursing, Nursing Management Team and Practice Development Nurses with administrative tasks, including but not limited to: Recruitment and Onboarding Responsible for supporting staff onboarding ordering uniforms, name badges, nurse bags and contents, New Hire requests. Liaise with new starters prior to start date. Plan Inductions, arranging travel and accommodation, sending Induction information. Meeting new starters at their Induction and be available for support on their first day. Operational Support Lead strategic communication with senior stakeholders both internally and externally, ensuring alignment, clarity and consistency across all high-level engagements and initiatives. Responsible for analysing nursing data and producing insightful analysis reports, to share with the Teams. To create and manage annual work planners and ensure they are kept up to date. Responsible for creating and managing changes to on call rotas. Responsible for meeting logistics, including organising venues for Nurse meetings and Training sessions. To book travel arrangements for nurses, to include trains and hotels. To support nurses with car hire arrangements in the absence of their company cars. To attend nurse meetings, generate the nursing dashboards, take minutes (to then share with the team), either on Teams or in person as meeting dictates. Responsibility for office based stored items such as Uniforms, Nurse Bag contents and Training Equipment. Responsible for sending nurses stock items and literature as required. To be the central point of contact at head office for all nursing requirements. To liaise with the Service Support team on nursing requirements. Work collaboratively with clinical teams to ensure accurate and timely information flow. Governance and Regulatory Compliance Serve as the primary point of contact for clinical audits, leading the planning coordination and preparation processes to ensure compliance with regulatory standards and successful audit outcomes. Responsible for generating the Transcare Clinical Governance Report in preparation for the Clinical Governance Committee Board meeting. Assist in the coordination and documentation of clinical governance meetings, audits, and compliance reviews. Support the development and maintenance of documentation required for regulatory inspections and reporting. Maintain records and tracking systems to monitor completion of clinical audits, training compliance, and policy reviews. To manage statutory CQC reporting including Notification of Death and submission of reports to the CQC. To manage the People Safe (Lone working platform) and generate usage reports. To track and manage Training reports and Dashboards as required by the PDNs or Nursing Management. To monitor nurses renewal onto the NMC register, ensuring PIN is valid. To undertake any further duties commensurate with the level of responsibility contained within. To work within the Transcare Policies and Procedures and adhere to the Quality Manual and Environmental, Health and Safety Guidelines. To ensure reports from customers relating to product quality complaints or adverse drug reactions are documented and the essential minimum information is collected and forwarded to the Regulatory Affairs Department the same day they are received.
