Summary
Allstaff Office Division are delighted to bring to the market the role of Temporary Repairs Assistant.
Location: Greenock
KEY RESPONSIBILITIES
To provide an effective and efficient administrative support to the Property Department covering all aspects of repairs and maintenance.
• To assist in providing a prompt and effective property management service to tenants, sharing owners, owner occupiers and others, dealing with initial enquiries covering all aspects of repairs and maintenance.
• To ensure that day to day activities are undertaken through to completion in order to ensure efficient and effective delivery of the maintenance function.
• To be responsible for ensuring that all procedures being adhered to and will ensure all systems are continually updated.
• Ensure that day-to-day enquiries regarding reactive repairs are being processed in accordance with the Association’s Property Policy and Procedure.
• Ensure that all repairs are recorded in the computerised repairs system and work orders are being issued to residents. Ensure that contractors also receive notification of the works instructed.
• Liaising with all repairs and maintenance contractors to ensure good service delivery in line with the Association’s Performance Targets.
• Ensure that all works orders received from contractors for out of hours repairs are raised and that all follow up works have been raised.
• Ensure that action is being progressed on reported repairs and that residents are kept informed of progress.
• Ensure that contractor completion times are updated on the computerised system and that contractors are being pursued where required.
• Ensure that contractor invoices are received timeously and are being pursued where required.
• Mitigate late jobs with contractors to ensure appropriate performance is recorded.
• Monitor qualifying repair completions and inform the Repairs Assistant (Supervisor) of any instance where tenant is due compensation.
• Reporting repairs to property factors for properties not within the Association’s management.
• Monitor contractor insurances are in place and up to date.
Other Administrative Roles –
Attend meetings as required to promote the active involvement in services provided
• Assist in the preparation and provision of information and advice to customers on a range of repair issues including the newsletter, information leaflets, website, tenants handbook, annual report, residents meetings etc.
• Liaise effectively with staff in other sections to maximise performance and enhance service delivery.
• Attend training courses, seminars and conferences as required.
Experience Required:
Strong background in customer service
Salary: From £15 per hour
Hours: Part-time – Mondays 9am–5pm and Tuesdays 9am–6pm (with one-hour lunch breaks)
