Summary

Job responsibilities Key Result Areas To contribute to achieving the objectives of the project by assisting the project lead/s to organise their work schedule and the work programme of the project by providing effective and efficient project administration. To ensure that timely and necessary actions are taken through the accurate recording and distribution of minutes, using initiative to ensure actions taken are appropriate and effective. Schedule and organise meetings arrange, draw up and agree agenda, draw up preparatory papers, attend and take effective minutes, process and circulate minutes. Concentration is required when transcribing minutes but frequent interruption and other interventions are unpredictable. Ensure actions arising from the meetings are implemented on time through an effective follow-up and bring forward system. Use initiative to work independently and prioritise a busy workload. Dealing with general correspondence and queries on behalf of the project lead/s which requires tact and diplomacy to make judgements and bring to a satisfactory conclusion. Continuously monitoring the management of resources to ensure that financial expenditure does not exceed the annual budget. To proactively and effectively manage, organise and prioritise a busy workload contributing to the overall management and delivery of the project in order to ensure that objectives are met and on schedule. Previous experience Previous experience of working within an administration function ideally within projects in a complex organisation such as the NHS. Skills/Knowledge/ Ability High level of administrative, secretarial and communication skills (both written and verbal), including evidence of satisfactory performance of administrative/ secretarial functions and preferably project support. This will include experience and ability to produce effective minutes, collating papers and reports and communicating information. Excellent time management skills to enable planning, organising and controlling of own work, and to work collaboratively with secretaries and managers to ensure co-ordination of diary commitments. Self-starter, ability to use initiative, work independently, confidentially and to handle sensitive issues accordingly. Excellent interpersonal skills with an ability to be creative and to influence others to achieve aims and objectives.
