Summary
We are looking for an experienced Administrator to join our Workshop department on a fixed term contract until 26th February 2027.
General purpose:
The role of the Workshop Administrator is to effectively manage the delivery of the workshop and workshop stores administrative function including all aspects of the vehicle fleet management and stores administration including liaising with the compliance team for insurance, operator’s licenses and booking appointments for vehicle inspections, MOT tests, service planning, clerical / and administrative duties which will ensure the smooth operation of the workshop and workshop stores.
Key deliverables:
• Organise and co-ordinate work loading to ensure a smooth and seamless clerical / administrative function for the Workshop and garage stores. This will include covering each other during periods of absence (annual leave / sick).
• To undertake paperwork and administration relating to all aspects of the vehicle fleet.
• Taxi Enforcement - Create job cards/closing/invoicing Taxi Enforcement on daily basis.
• Prepare monthly taxi listing received from Taxi Enforcement.
• Taking payments from public for taxi tests and private MOT’s by PDQ.
• Completing credit card/cash returns on daily basis
• To maintain the departments computerised fleet management system.
• To ensure the accurate records are maintained for each of the vehicles allocated to the contract.
• To undertake clerical and administrative duties in respect of invoice processing and financial matters.
• To book appointments for vehicle inspections, MOT test, service planning for a rolling program up to a year ahead.
• To liaise with the vehicle users from all service departments across the contract to ensure that their fleet requirements are satisfied, and the service provided meets the department’s customers’ care and best value objectives.
• To be responsible for the accounting and administration of the vehicle workshop computerised stores and day to day resource of the fleet and stores.
• To carry out analysis of very complex data across all the software used for fleet monitoring.
• Reconcile time and liaise with Workshop staff.
• To carry out all responsibilities and duties with regard the Company’s Health and Safety Policy.
• In addition to undertake all responsibilities and duties with regards to the Company’s equalities policy and procedures and customer care policy.
• Raise job on the R2C system for all vehicle defects, liaise with Workshop Supervisors and monitor progress.
• Filing/Reception/Telephone.
• Deal with third party customers, taxi drivers and suppliers in reception
• Take delivery and book in all parts from suppliers.
• Respond to breakdowns and arrange recovery.
• Contact third parties for start-up order numbers and keep updated until completion and invoiced.
• Report all tyre defects to DTM or leasing companies.
• Report windscreen defects to contractor.
• Invoice all Workshop job sheets and send pro-forma invoices to third parties for approval and final order numbers.
• Liaise with all Workshop staff regarding job sheets for invoicing.
• Raise purchase orders for non-stock parts for Fleet Factors.
• Raise purchase orders for stock.
• Raise purchase orders for third party repairs.
• Raise purchase orders for overhead purchases.
• Reconcile and enter all credit card payments taken on spread sheet and send to Accounts for information daily.
• Run various management and financial reports on R2C as required.
• ANPR system.
Requirements:
• Understanding of Fleet Management Legal Requirements.
• Experience of Fleet Management Principles.
• Ability to motivate and challenge staff.
• Articulate, assured, able to engage in debate and to challenge assumptions whilst remaining flexible and open-minded.
• Calm and considered under pressure, a person of integrity with high personal standards that do not dip under duress.
• Effective communication skills (oral & written)
• Good IT and keyboarding skills.
• Good Interpersonal Skills
• Ability to prioritise a workload.
