Summary

Main Tasks To be the focal point for the Medical Division, acting as a link between patients, patients relatives, GPs, wards, the general public and all other personnel. Ensuring all communication is passed on accurately whilst upholding confidentiality. Track patients and actively manage patients clinical pathway to ensure appointments, investigations MDT discussions and treatments are conducted in a timely manner consistent with their timed clinical pathway and expected appointment scheduling. The post holder will require knowledge of Local and National RTT policy in order to facilitate the accurate scheduling of patients with consideration to RTT and clinical priority status. Monitor and validate RTT pathways and ensure the patients are treated in line with the RTT policy or discharged where appropriate. Monitor the ASI list to ensure that patients are treated in line with the RTT policy. Monitor and validate the holding list to ensure that patients are treated in line with the RTT policy, and that prioritisation is given to patients who are breaching the request end date. Review slot utilisation and ensure that all clinics are fully utilised. To ensure that the Electronic Patient Records are an accurate documentation of the patients care, updating information where necessary and as required. Transcription and production, from Winscribe digital dictation system, of typewritten reports and correspondence for the consultants and their teams, including outpatients reports and other general correspondence. To be able to prioritise workloads and have the ability to work under pressure maintaining accuracy and meeting deadlines. IPT (inter-patient transfer) management. Manage and maintain the outpatient clinics and liaise with the Appointments Centre to arrange outpatient appointments when necessary. Organise clinical and non-clinical meetings. Cancel and reduce clinics as requested by consultants, ensuring that the 6-week rule is adhered to whenever possible. Where clinics are cancelled within the 6-week rule, ensure the Template Team are contacted by telephone, that the cancellation forms are completed and authorised by the appropriate person. To ensure that all equipment, such as computers, printers etc, which are used, are in working order, contacting the relevant department/personnel if they are not. Provide cover for colleagues, i.e., sick/annual leave or excessively busy times, ensuring smooth running of the service. Offer advice and support and demonstrate duties to new members of staff. Provide non-clinical information to patients, patients relatives, GPs, other hospitals etc, whilst exercising judgement to ensure that all the relevant personnel are given necessary information as quickly as possible, thereby ensuring that any action, which needs to be taken, is taken promptly. To be able to work on own initiative and make decisions within written guidelines, sometimes without reference to others. Ad hoc duties as required and requested by the team leader or the Operations Team.
