Estates and Facilities Administration Assistant

About the role
We are seeking to fill an upcoming vacancy for the role of Estates and Administration Assistant. The Estates and Facilities Department manages a mixed portfolio of buildings and facilities (Owned buildings, leased and PFI), ensuring our buildings are clean, safe and accessible.
Reporting directly to Property Manager you will be responsible for assisting the with a varied range of clerical and office-based task to support the operation of the Estates and Facilities team ensuring the department provides a customer focused service.
The successful candidate will be able to demonstrate a firm commitment to inclusivity, fairness, dignity and the highest standards of ethical behaviours and champion these in their day-to-day work in compliance with our ethical code of conduct.

As the Estates and Facilities Administration Assistant you will:
• Create, update and use spreadsheets for data entry.
• Answer telephone calls dealing with enquiries promptly and accurately.
• File and manage documents.
• Take meeting minutes.
• Place work and material orders.
• Update records and systems.
• Carry out general office duties.
We are seeking a candidate who has demonstrable experience of:
• Working in a busy office environment, preferably has previously worked in property or building industry-based office.
• Experienced in the use of office equipment and Microsoft office software packages.
• Has the ability to work on their own initiative with limited supervision.
