Administrator
Location: HMP Northumberland
Sodexo Justice Services is seeking a highly organised and professional Administrator to provide comprehensive administrative support at HMP Northumberland. This role is essential to ensuring the smooth and efficient running of departmental functions within a prison environment, supporting both colleagues and service delivery through accurate, timely, and confidential administrative work.
The Administrator will deliver general administrative support across a range of business areas, ensuring processes run efficiently and in line with Sodexo policies, prison service orders, and legal requirements. The role requires strong organisational skills, attention to detail, and the ability to work effectively in a fast-paced, regulated environment.
Manage incoming and outgoing correspondence, ensuring accurate distribution to relevant departments or staff
Produce and assist with typed correspondence including letters, emails, spreadsheets, and database entries
Provide general administrative support including photocopying, filing, scanning, and record management
Maintain accurate, up-to-date records in line with audit, legal, and prison service requirements
Support the production of management information and regular reports, identifying trends where required
Answer and make telephone calls in a polite, confident, and professional manner
Liaise effectively with colleagues, stakeholders, and members of the public
Maintain strict confidentiality at all times
Support colleagues across departments to ensure the safe and smooth operation of the prison
Undertake any additional administrative duties as required by the Line Manager
Ensure all administrative actions are completed accurately, securely, and within agreed timescales
Maintain effective filing and record-keeping systems
Support cost-effective and efficient departmental operations
Work collaboratively with colleagues across the prison
Essential:
Experience in an administrative role or similar environment
Competent in the use of IT systems and Microsoft Office applications
Ability to work under pressure and meet deadlines
Strong organisational skills with the ability to manage competing priorities
Professional, confident, and customer-focused communication skills
Desirable:
Experience working in a secure or regulated environment
Understanding of confidentiality and data protection requirements
