Thepostholderwillprovidehighquality,proactiveandprofessionaladministrativesupporttoupto the Chief Operating Officer at Epsom and St Helier, supportingthemtoundertaketheirfunctionsefficientlyandeffectively.Thiswill includetheprovisionoffirstclassdiarymanagementsupport,emailmanagement,arrangingand ensuring effective preparation for meetings, and financial management. The post holder will beresponsiblefor ensuringthattheDirectors prioritiesandkeyactions aredrivenforward, communicatingtheseeffectivelytothewiderseniorleadership,aswellasprovidinganinterfacetostaff at all levels across the Group.

UnderstandtheSiteDirectors’ waysofworkingandprioritiesovertheshort-, medium-andlong-term,handlecomplexandsensitiveinformation, providebespokeandflexiblesupportas new priorities emerge, representing these effectively to internal and external stakeholders where appropriate.



· Proactively manage the Site Directors diary, prioritising as appropriate to ensure their time is used most efficiently and to best effect.



· Manage the Site Directors e-mails, highlighting issues that require immediate attention, making enquiries into complex matters as needed, responding to requests, and track progress on incoming and outgoing emails.




· Create and maintain project and action trackers, updating Site Directors on progress against keyprojects anddriving theseforward with therelevant teams.



· Support the SiteDirector in preparing agendasfor formal andinformal meetings, taking highqualityminutes,andrecordingandfollowing-upactionsfrommeetingsasrequired.



· ProvideeffectivecoverforotherExecutiveAssistantstoSiteDirectors.



· Work collaboratively with Executive Assistants at Site and Group level .

· Raiserequisitionsandpurchaseordersandreceiptagainstthese,usingGroupfinancialmanagement systems and processes.




· Support the Site Director with management and co-ordination of staffing systems.



· Maintain the highest standards of confidentiality.

St George’s, Epsom and St Helier University Hospitals and Health Group cares for a population of four million people in South West London and North East Surrey. · UnderstandtheSiteDirectors waysofworkingandprioritiesovertheshort-,medium-andlong-term,handlecomplexandsensitiveinformation, providebespokeandflexiblesupportas new priorities emerge, representing these effectively to internal and external stakeholders where appropriate.



· Support the Site Director in the delivery of their aims and objectives, proactively anticipating issues and acting on their behalf as required.



· SupporttothewiderSiteleadershipteaminthedeliveryoftheiraimsandobjectives.


Diary,meetings,emailsandcorrespondence
· Proactively manage the Site Directors diary, prioritising as appropriate to ensure their time is used most efficiently and to best effect.



· Arrange meetings with internal and external stakeholders, in line with the Site Directors’ priorities and responsibilities.



· Manage the Site Directors e-mails, highlighting issues that require immediate attention, making enquiries into complex matters as needed, responding to requests, and track progress on incoming and outgoing emails.



· Respond to queries, direct to relevant parties and follow these through to completion, persuading colleagues and/or negotiating deadlines on occasion to meet expectedtimelines.



· Where appropriate, liaise with patients and public, including complaints, in a sensitive,helpfulmannerandfollow-upenquiriestoensurethat,wherenecessary,callershavebeengiven appropriate information.



· Reviewresponsesandcontributetothedraftingofcomplaintsandlettersallocatedtothe Site Director.




· Create and maintain project and action trackers, updating Site Directors on progress against keyprojects anddriving theseforward with therelevant teams.



· Proactivelyfollow-uponactionsgiventotheSiteDirector toensureeffectivetrackingand timely delivery of these actions.



Supportformeetings

· Support the SiteDirector in preparing agendasfor formal andinformal meetings, taking highqualityminutes,andrecordingandfollowing-upactionsfrommeetingsasrequired.



· Support Site Director meetings logistics where required, including circulation of papers, bookingmeetingrooms,sendingoutcalendarinvites,arrangingcatering.



· EnsurepapersforinternalandexternalmeetingsareprovidedtotheSiteDirectorsingoodtime.
Relationships
· ProvideeffectivecoverforotherExecutiveAssistantstoSiteDirectorstosupportsickness,annual leave and other absence, including deputising for the Executive Assistant to the Managing Director where necessary.



· Workcollaborativelytoestablishandmaintaingoodworkingrelationshipsacrossthe Site leadershipandGroupExecutiveteamsandwithkeystakeholders,



· Work collaboratively with Executive Assistants at Site and Group level to ensure that, collectively,theExecutivesupportteamoperateseffectivelyandinanagileandcohesive working environment.


Financialmanagement
· Raiserequisitionsandpurchaseordersandreceiptagainstthese,usingGroupfinancialmanagement systems and processes.



· Processexpensesonbehalfof SiteDirectorsasappropriateusingrelevantTrustsystemsand processes.


Wideradministrativesupport
· DevelopeffectiveadministrativesystemsandprocessesonbehalfoftheSiteDirector to ensure high standards are set and maintained.


· Support the Site Director with management and co-ordination of staffing systems, including recording sickness/annual leave, recruitment and on-boarding of direct reports and highlighting any issues arising.



· Manageofficestock,andraisestationaryandotherordersasrequired.

· Arrangetravelandaccommodationasrequired.

· Participateinprojectandeventsmanagementasrequired.

· Maintain the highest standards of confidentiality, particularly when dealing with sensitive information,including informationrelatingtopatients and/orstaff.
