An exciting opportunity has arisen for an enthusiastic, flexible and well organised individual to join our friendly team as a Support Secretary.

The successful applicant will have excellent organisational and communication skills and be able to work well under pressure. You should have a good understanding of the patient pathway and enjoy working as part of a multidisciplinary team. The role also requires confidence when liaising with patients, medical staff, general practitioners and referring hospitals.

The post holder will be expected to organise their workload effectively, contributing directly and positively to the service. You will be required to use your initiative, work independently where needed, and maintain patient confidentiality at all times.

The main duties of the Support Secretary include acting as the department’s first point of contact, managing enquiries and correspondence efficiently, and maintaining organised, accurate documentation. The role supports the patient pathway by coordinating appointments, managing waiting lists and ensuring timely progression of care. You will provide a range of administrative support, including preparing correspondence, minute taking, filing, processing post and maintaining office systems. The position also involves producing documentation from dictation or manuscript, contributing to service improvement through data collection and use of Trust IT systems, liaising with patients, clinicians, GPs and other departments, and providing support and cross cover to team members. Additionally, you will help coordinate the Imaging Team’s diaries and ensure urgent or abnormal results are brought to the appropriate staff promptly.

To provide a comprehensive and confidential administrative support for the Imaging Department in accordance with the group, trust and national standards, policies and procedures. Duties will include typing of correspondence and documents, dealing with different enquiries, dealing with patients’ records and other general office administration duties.

The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams within the department as and when required.
