Summary
Act as the first point of contact for all employee/manager queries sent to the HR email address, replying where possible or escalating to other members of the team if required. Administer the system changes for all contractual changes during the employee life cycle, such as changes to positions, hours and salary. Issue new letters/contracts of employment for all employee contractual changes completed. Advise managers on correct process/policy for completing employee changes and challenge managers where this process has not been correctly followed. Act as the gatekeeper when processing changes to ensure these are administered fairly across staff. This may include checking correct pay scales have been applied or that positions are within establishment and have been approved, among others. Coach line managers on best practice for completing employee changes and demonstrate system ways of working as required. Process staff leavers, ensuring system action is completed, appropriate paperwork is issued and arrangements for last working day is finalised. Act as the system expert for processing all changes to employee data on the HR systems and share system knowledge with colleagues within and outside of the team. Liaise with the payroll department on any other payroll & pension or staff queries as required. Manage the wider HR database, inputting and updating records, and providing training to both employees and managers on their use of the HR system as appropriate. Ensure accurate records are maintained across the HR & Payroll system and the Rota system; conducting audits as required. Ensure maternity, paternity and adoption cases are communicated to payroll e.g. when leave commences and ends. Ensure sickness absence cases are captured, relevant paperwork is received and the system is kept up to date. Run staff reports as required to support colleagues in ensuring correct policy and process is followed. Understand the functionality of the HR systems and how this may offer solutions to other data storing/reporting requirements for the business. Assist People Operations colleagues in maintaining information databases, including absence and exit interviews. Attend employee meetings to take minutes as required. Support and assist the Head of People Services and wider business colleagues with a range of projects and initiatives as required. Promote Equality and Diversity as part of the culture of the organisation. Support GDPR compliance by ensuring employee data is processed in line with regulations, and disposed of accordingly. Undertake any other reasonable tasks as directed from time to time by the People Business Partner or Head of People Services. Other duties Any other duties, as agreed with the line manager to meet the needs of the organisation. This may include travel to other sites within the organisation.
