What You’ll Be Doing

- Provide effective administrative and operational support to the Maths Outreach Team and East Maths Community, working closely with the Maths Support Team Lead to deliver agreed priorities.
- Plan, organise and support the delivery of Maths Outreach and East Maths Community events, including booking venues and transport, coordinating logistics, and supporting online and face-to-face activities.
- Manage diaries, calendars and timelines, ensuring outreach activity is accurately mapped, deadlines are met, and requirements of the Maths Excellence Fund are fulfilled.
- Coordinate communication and stakeholder engagement, acting as a key point of contact for staff, partners and visitors, and supporting meetings through agendas, papers and minutes.
- Lead and line manage the Maths Outreach Administrative Assistant, including performance management and day-to-day oversight of the Maths Outreach administrative assistant.
- Maintain accurate records and data systems, including attendance tracking, recruitment data, filing, and compliance with GDPR requirements.
- Provide support to the Maths Support Team Lead in the administration and monitoring of finances, maintaining accurate financial records, service level agreements and oversight of outreach-related expenditure.
- Manage digital and written communications, including website updates, social media, email correspondence, newsletters, and drafting communications on behalf of the Outreach team.
- Ensure compliance with school policies and outreach remits, contributing to continuous improvement and undertaking additional support duties as required by the Director of Maths.

About You:

You are a highly organised and proactive administrator with strong numeracy and literacy skills and excellent ICT competence, including Google Workspace and Microsoft Office. You have experience in administration and diary management, including line management, and can work independently, prioritise effectively, and stay calm under pressure. You communicate confidently at all levels, have strong attention to detail and proof-reading skills, and bring a professional, discreet, and positive ‘can-do’ approach. An understanding of the education context is essential.

Essential:

- Strong numeracy and literacy skills (GCSE or equivalent in Maths and English).
- Proven administrative experience, including diary management and ICT competence (Google Workspace and/or Office 365, Microsoft Office).
- Experience of line management, including performance management.
- Excellent communication skills, both written and verbal, with strong attention to detail and proof-reading ability.
- Ability to work independently, prioritise tasks, multitask, and remain calm under pressure.

Desirable:

- Secretarial or word-processing qualifications (e.g., RSA Typing Stage 3, OCR/RSA Level 3 in Word Processing/Text Production).
- Understanding of the education context.
- Experience with event organisation or outreach support.
- Familiarity with social media or website management.
- Professional appearance and a high degree of discretion, tact, and diplomacy.
