Hours: Minimum 12 hours a week over 4 days (Mon-Thurs)
Reports to: CEO / Senior Management Team

Unanima creates bold, socially-driven work with learning disabled and autistic artists at its heart. We challenge perceptions, foster creativity, and centre unheard voices. Our work takes place in theatres, communities, care settings, and schools — telling stories that need to be told.
Role Purpose
The Administrator plays a key role in supporting the smooth day-to-day running of the organisation. This person will provide efficient administrative and financial support, ensure strong communication within the team and with external partners, and assist the CEO and trustees in maintaining effective operations.

Key Responsibilities
Office & Communications
• Monitor, respond to, and manage the organisation’s main email inbox.
• Answer and manage phone calls in a professional and friendly manner.
• Act as the first point of contact for general enquiries from participants, parents, partners,
and the public.
• Maintain up-to-date contact lists and communication records.
Administrative Support
• Provide diary management for the CEO and senior management team.
• Schedule and coordinate meetings, rehearsals, and events.
• Prepare agendas, attend quarterly trustee meetings and staff meetings, and take accurate minutes. Trustee meetings are on either on a weekday evening (zoom) or Saturday morning in person (Nottingham).
• Arrange travel bookings and taxis for participants and staff where needed.
• Support documentation, filing, and digital record-keeping systems (paper and cloud-based).
Finance
• Create invoices and monitor payments received.
• Receive invoices and expenses claims and arrange payments.
• Create a financial system / record that corresponds to each strand and / or project within Unanima.
• Support basic financial administration (e.g. petty cash, expense claims, budget tracking).
• Download bank statements and annotate with descriptions and account codes.
• Liaise with the accountant and senior team to ensure accurate financial records.
Team & Organisational Support
• Work closely with senior management to ensure the organisation runs smoothly.
• Support project coordination and communication between departments.
• Liaise with parents, carers, and support staff to ensure participants have the information they need for sessions and events.
• Contribute to the creation of an inclusive and welcoming environment for everyone
involved.
• Work collaboratively and closely with the senior management to deliver the organisation’s mission and vision: A world with learning disabled and autistic people creating high quality art; stigma free and valued.
Person Specification
Essential
• Strong organisational and time-management skills.
• Excellent written and verbal communication skills.
• Experience of providing administrative or office support.
• Ability to handle sensitive information confidentially and professionally.
• Comfortable working with people with learning disabilities and/or autistic people.
• Competent with email, Microsoft Office/ Excel / Google Workspace, and online meeting tools.
• A proactive, reliable team player with good attention to detail.
Desirable
• Experience working in the arts, charity, or community sector.
• Basic financial administration or bookkeeping experience.
• Understanding of accessibility and inclusion in the workplace.
• Experience supporting trustees or senior management.
