Summary

Role Overview
We’re looking for a Team Assistant to support the Scheme Operation department within Nest. The Team Assistant will work closely with colleagues across the department as well as with other teams at Nest to ensure key meetings and milestones are met and smooth administration of Nest processes.Working to the line management of the Director of Scheme Operations, the Team Assistant will also support the Programme Director as well as the Director of Scheme Administration. It’s a busy time for the Department. This is an exciting role for someone looking to support a wide range of activities. Scope and Deliverables
Accountability:

- Provide effective operational and administrative support to senior management and the wider team as required
- Proactively manage team trackers and project plans, supporting the team in ensuring that all deadlines, governance and reporting requirements are met
- Deal with all matters in a confidential and timely manner and be trusted implicitly with sensitive information
- Liaise with senior internal stakeholders and external suppliers as required in support of various activities
- Contribute to the wider business support community by shaping processes and through leveraging best practice
- Provide cover for Business Support colleagues during periods of absence

Deliverables:

- Diary (plus light inbox management as required) for the Director of Scheme Operation and senior management, including setting up and prioritising internal and external meetings, managing logistics and assisting with agendas
- Arranging team meetings and team events, producing agendas, circulating documents and minute-taking as required
- Manage team finance processes including expense management, record keeping and purchasing goods or services in line with internal processes
- Organising travel for the team and advising the wider team on relevant policies
- Managing team plan(s), ensuring they are kept updated and tracking deliverables
- Supporting the team in meeting governance, compliance and reporting requirements and ensuring internal assurance and compliance processes are adhered to and understood within the team
- Handling internal and external queries in a timely manner and escalating priority items based on an understanding of current issues
- Managing IT requests and leading on new starter set-up and leaver processes for the team

Relationships and autonomy:

- Work to the line management of the Director of Scheme Operation but with strong relationships across the team and more widely at all levels across Nest
- Provide colleagues with timely updates on progress
- Work with Business Support colleagues within Nest sharing knowledge, covering for each other, and coming together on projects when required

The minimum criteria for this role are:

- Strong experience of providing administrative support in a demanding professional environment
- Proficient user of Microsoft Office applications and able to learn new IT systems quickly
- Experience of developing internal networks to achieve results
- Previous experience of managing project plans and project coordination is desirable
