The Team
Our Programme Administration & Support Service (PASS) provides a professional administrative service to students and academic staff across our Academic Schools based on our York and London campuses. Our ethos is to hold the student experience at the heart of everything we do, and we strive to provide a quality of service at all times.
The Role
For the role of PASS Team Leader, we are seeking to appoint a highly experienced administrator who is proactive, self-motivated and an excellent communicator, who ideally has prior experience of leading others.
You will line manage a small sub-team within PASS providing a professional administration service that supports the delivery of the University’s academic programmes, acting as a point of contact for academic staff, external partners and stakeholders (as appropriate) associated with these programmes. As Team Leader you will oversee the management and prioritisation of tasks, ensuring the team are trained and supported. You will work closely and collaboratively with fellow Team Leaders and the PASS Manager to review, manage and reallocate staff as necessary across the whole PASS team and proactively identify and address process improvement opportunities.
On a day-to-day basis you will also perform a variety of administrative tasks and you may be allocated at least one specific programme area to act as an administrative lead for and may be called upon to support the wider PASS team in response to changing demands. Tasks include arranging and minuting meetings, supporting with quality-related and assessment activities, assisting with travel booking arrangements and working closely with our Student Hub team and our CRM to manage student queries. You will also provide expert advice to colleagues across the university in relation to policies and processes.
This role will provide a great opportunity to build relationships throughout the York St John community and play a key role in the development of the PASS team and part we play in supporting students to achieve success.
Required skills and experience
You will have experience of working within an office environment and have an excellent standard of computer literacy with standard software packages (Microsoft Office, Outlook and online collaborative software such as MS Teams etc.). Experience of working with Customer Relationship Management software would also be ideal. A professional approach, excellent ability to multi-task, problem-solving skills and willingness to work as effectively and efficiently as possible to provide a high-quality service is essential. You will be a team player and have the ability to communicate at all levels with a cross-section of people. Experience of leading others would be ideal.
