Job Summary

The Facilities & Office Coordinator is responsible for ensuring the smooth day-to-day operation of the Liverpool office, combining both front-of-house and facilities coordination responsibilities. This part-time role provides essential support across building operations, health and safety compliance, and workplace services, while also managing reception duties such as greeting visitors and handling calls.

This role offers a varied and hands-on opportunity for someone who enjoys taking ownership of both the front-of-house experience and the efficient running of office operations. It's ideal for a proactive individual who thrives in a small, collaborative team and takes pride in maintaining a professional and welcoming workplace.

Job Specific Responsibilities

Front-of-House & Office Support

-Act as the first point of contact for visitors, contractors, and deliveries, ensuring a professional and friendly front-of-house experience.

-Answer and direct incoming phone calls, emails, and general office enquiries.

-Manage incoming and outgoing mail, parcels, and courier deliveries.

-Oversee reception coverage and support general administrative tasks as required.

-Coordinate office supplies, catering orders, and ad hoc procurement needs.

Facilities & Building Operations

-Serve as the main contact for all Facilities Management (FM) related matters, including service delivery, escalations, and ad hoc requests.

-Oversee and coordinate building maintenance activities for landlord- and Seadrill-managed activities.

-Manage contractors and service providers, ensuring safe and compliant operations on-site.

-Maintain oversight of cleaning, security, and catering services to ensure quality and consistency.

-Manage building access control systems, including staff and visitor badges, and maintain accurate records.

Health, Safety & Compliance

-Ensure compliance with all relevant UK Health and Safety regulations and company standards.

-Support regular safety inspections, risk assessments, and contractor inductions.

-Maintain records and documentation for audits, permits, and statutory requirements.

Workplace Planning & Coordination

-Support office moves, space planning, and seating arrangements in collaboration with internal departments.

-Liaise across teams to ensure smooth service delivery and a well-functioning office environment.

-Assist with small-scale facilities or office improvement projects as required.

Working Hours

-Part-time: Approximately 30 hours per week, 9AM - 3PM Monday - Friday (exact schedule to be agreed).

-Proven experience in facilities coordination, office administration, or front-of-house roles.
