The Opportunity:
We are seeking a highly motivated individual to provide administrative co-ordination for the Bachelor of Veterinary Science (BVSci) intra-mural rotations (IMR) which is key to the smooth and efficient running of IMR for students in the final year of studies. IMR placements take place throughout the year in a variety of distributed sites including veterinary practices, veterinary public health services and other appropriate veterinary settings.
The role primarily provides administrative support for IMR. There will be a requirement to deal regularly with highly confidential and sensitive information. Liaison with IMR placement providers and SRUC’s Clinical Teaching Fellows (CTFs) will be a key part of this role.
Main Responsibilities:
- To maintain records relating to intra-mural rotations (IMR) to ensure coordination of IMR activity, including but not limited to:
- Registration and contract status of IMR providers, including Health and Safety and insurance documentation
- Information provided to students via the student handbook, Moodle virtual learning environment, teaching activities and other relevant portals
- Quality assurance visits
- Clinical Teaching Fellow (CTF) visits during student placements
- Correspondence including complaints
- Taken together, the above elements will require management of large and complex datasets.
- To provide support for travel and accommodation arrangements for CTFs and IMR placement students.
- To monitor and manage IMR communications, answering and redirecting correspondence where required to ensure a high level of service provision for staff, students and external contacts.
- To coordinate student placements with framework providers in line with contractual agreement.
- To field queries from new potential placement providers dealing with these or directing to other staff as appropriate.
- To be a key point of contact for students and placement providers with IMR queries.
- To monitor and audit records of student activity, ensuring information is captured effectively. This will include records of where and when students completed IMR, ensuring that students meet assessment requirements. The postholder will be required to ensure that all required documents have been correctly completed, and to cross-check information as appropriate.
- To provide relevant information, reports and summaries as required. This will include reports on student activities while on placement, student numbers by placement, and ensuring that students have the right mix of placements provided, requiring some manipulation and analysis of large, complex datasets.
- To field queries (e.g. from staff and students) in relation to the above, dealing with these or directing to other staff as appropriate.
- To arrange and support meetings, monitoring/supporting completion of action points where applicable.
- To assist with the review, development and implementation of relevant administrative procedures and processes.
- To be aware of the requirement for tact and sensitivity in all communications, and to maintain discretion when dealing with highly confidential and sensitive information.
- Any other duties commensurate with the grade and focus of the post.
- To work as part of a wider administration team within the School.

Minimum Qualifications:
The ideal candidate will have a good general standard of education, including English and Mathematics qualifications to at least SCQF level 5 (or equivalent). A qualification in business administration would be desirable and demonstratable experience working within an administrative role requiring liaison with external partners, is essential.
