Summary
Administration Assistant
• Office based
• Luton LU4
• 8am – 4pm Monday – Friday
• 28K start salary rising to 29K after completion of successful probationary period
• Available immediately
We are seeking a proactive and organised Admin Assistant to join our client’s team. This role involves supporting day-to-day operational activities, maintaining accurate records, and ensuring smooth communication across departments and external partners.
Key Responsibilities:
• Maintain and update schedules, timelines, and internal records, ensuring changes are communicated promptly.
• Monitor and record incoming and outgoing activity, sharing relevant information with internal teams.
• Liaise with external service providers to obtain required information and support planning processes.
• Prepare and submit documentation for internal and external compliance purposes.
• Handle time-sensitive submissions and maintain accurate data for reporting requirements.
• Reconcile accounts and support with processing invoices and financial documentation.
• Prepare data reports for customers and internal stakeholders as required.
• Create and issue invoices for services provided.
• Organise and file documents to ensure easy retrieval and compliance.
• Carry out general administrative tasks and support wider team needs as required.
Person Specification:
• Experience in a similar administrative or operations-focused role is desirable.
• Strong Microsoft Excel skills and a good general competency with Microsoft Office; ability to learn new systems quickly.
• Experience with industry-specific software is an advantage but not essential.
• Able to work to tight deadlines with a high level of accuracy.
• Comfortable working in a fast-paced environment while maintaining a calm and professional approach.
• Strong verbal and written communication skills.
• Willingness to learn, adapt, and develop new skills.
