Job Description: School Attendance & Welfare Administrator
Job Title: School Office Administrator
Purpose of the Role
To provide high-quality administrative support focused on pupil attendance, safeguarding, and welfare. The postholder will monitor attendance data, follow up on absences, support families where needed, and act as a trained First Aider for the school. The role is essential in promoting regular school attendance and ensuring the wellbeing and safety of all pupils.

Key Responsibilities
Attendance Administration
• Maintain accurate daily attendance records on the school’s MIS system.
• Monitor attendance data and identify patterns of concern.
• Follow up on absences by contacting parents/carers.
• Prepare attendance reports for the Senior Leadership Team, safeguarding team, and governors.
• Support the implementation of the school’s attendance policy.
• Liaise with external agencies such as Education Welfare Officers when necessary.
Pupil Welfare & Safeguarding Support
• Work closely with the pastoral and safeguarding teams to identify pupils who may require additional support.
• Ensure concerns about pupil welfare are documented and escalated appropriately.
• Support early intervention strategies to promote pupil wellbeing.
• Maintain confidentiality and follow all school safeguarding procedures.
First Aid
• Act as a qualified First Aider for pupils and staff.
• Provide immediate care for injuries or illness (if needed).
• Maintain accident logs and ensure medical records are up to date.
General Administration
• Provide administrative support to the office team as needed.
• Communicate professionally with parents, staff, and external agencies.
• Assist with student files, correspondence, and school records.
• Support front office duties when required, including reception cover.

Essential:
• Experience working in similar administrative environment.
• Strong attention to detail and accuracy in data handling.
• Excellent communication and interpersonal skills.
• Ability to handle sensitive information confidentially.
• Good IT skills, to use/learn MIS systems (e.g., SIMS/Arbor/Bromcom).
• Ability to prioritise work and meet deadlines.
• First Aid at Work Certificate and a valid DBS.
