Everyone at Mitie has a voice and is treated as an equal.o Our customers' business, is our business: we are a partner, trusted for our expertise and for puttingour customers at the heart of everything we do.Job objectives and responsibilities• To be responsible for all paperwork for the maintenance, reactive & small works within the scope of theportfolio.• To attend relevant client meetings.• To attend relevant team meetings, toolbox talks & training as required.• To ensure compliance with Quality, Safety, Health & Environmental standards.Main duties• AWR's obtaining quotes and submitting to client via Account Manager.• Liase with BMW/supervisors to ensure AWR process is completed• Ensure all associated paperwork is completed and maintained in an orderly and timely manner• Assist in the distribution of communication material and presentations• Raising of invoices, work quotations, purchase orders/stock orders, updating associated trackers, and associatedinvoicing tasks as required• Support the close out of work orders• Reviewing and updating engineering call out log using the continuity planner• Ensure WIP is updated daily• Supporting the collation of sub-con paperwork where required• Supporting Customer reviews and updating tracker when required• Support processing for all payroll overtime claims

Management of P card usage and submission of reports.• Manage stationery orders• Ensure that our CAFM system Maximo is up to date at all times• Other administrative duties as deemed reasonable• To continually promote and support a “team spirit” within the maintenance team.• To recognise the importance of the teamwork in achieving the departmental objectives and to contributeeffectively.• Identify additional training needs of current staff to improve team capability and contract delivery• Ensure the teams statutory training is always in date• Ensure the teams specific training requirements to complete works are within date.





Person Specification• Demonstrate a proactive approach to delivering excellent customer service to stakeholders.• Strong team player orientation - cooperative and willing to assist others.• Proficient IT skills including MS Word, MS Excel and MS PowerPoint, and comfortable with numerical reasoning.• Engaging communicator demonstrating influencing skills and an ability to adapt approaches to differingaudiences.• Well organised, with the ability to multi-task, prioritise and manage competing demands. Strong multi-taskingcapability, project and deadline oriented.• Maintains effective work behaviour in the face of setbacks or pressure - remains calm and in control ofthemselves.• Excellent attention to detail and accuracy.Health and Safety responsibilities• Follow Group and company policies and procedures at all times;• Report any apparent deficiencies in systems of work or equipment provided that may result in failure of servicedelivery or risk to health and safety or the environment;• Use all work equipment and personal PPE properly and in accordance with training received;• Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;Information Security• Ensure compliance with Mitie's information security procedures in all activities;• Proactively identify and report security risks to your manager;• Report actual and suspected security incidents;
