Summary
We are seeking a highly organised, proactive, and customer-focused Residential Estate Administrator to join our team. This is a key role supporting the day-to-day administration and smooth running of our residential estate. You will work closely with the Estate Manager, residents, contractors, and external partners to ensure excellent service delivery and effective estate operations.
Key Responsibilities
• Provide professional administrative support to the Estate Manager and Board.
• Act as a first point of contact for resident enquiries—responding in a timely, courteous, and solutions-focused manner.
• Manage incoming emails, phone queries, correspondence, and record-keeping.
• Maintain accurate databases including resident information, contractor details, permits, and compliance records.
• Support the coordination of repairs, maintenance work orders, contractor appointments, and access arrangements.
• Monitor service delivery and log progress updates on maintenance tasks.
• Assist with issuing communications, newsletters, notices, and resident updates.
• Process invoices, purchase orders, and basic financial administration.
• Assist with preparing reports, minutes of meetings, and supporting documentation.
• Support health & safety compliance, including record-keeping and follow-up actions.
• Maintain an organised office and manage supplies, inventory, and filing systems.
• Provide general support on estate projects, events, and resident engagement initiatives.

Essential Skills & Experience
• Strong organisational and administrative skills with excellent attention to detail.
• Confident communicator with the ability to build positive relationships with residents, contractors, and partners.
• Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning new systems.
• Able to manage multiple tasks and prioritise effectively.
• Demonstrates professionalism, discretion, and strong customer service.
• Problem-solving mindset with the ability to remain calm under pressure.
• Reliable, punctual, self-motivated, and capable of working independently or as part of a team.
Desirable
• Experience in residential property management, estate administration, or similar.
• Knowledge of health & safety processes or contractor coordination.
• Familiarity with property management software.
• Understanding of service charge processes or basic financial administration.
