Summary
Your regular duties in this role will be dealing with telephone, face to face and electronic enquiries, booking and/or amending patient appointments and home visits, contacting patients to provide information from the clinical team and assisting patients to access our services and those available in the wider community. The duties and responsibilities to be undertaken by members of the Practice reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Supervisors/Practice Manager, dependent on current and evolving Practice workload and staffing levels: Job Responsibilities: Reception Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice Keep the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter Deal with all general enquiries, explain procedures and make new and follow-up appointments. Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Register new patients, temporary residents and any requiring immediate and necessary treatment, carefully checking all details for accuracy and enter on computer system Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Advise patients of relevant charges for private (non NHS) services, accept payment and issue receipts for same. Appointments Maintaining and monitoring the Practice appointments system Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor. General Administration Having a thorough knowledge of all Practice procedures. Working in accordance of written protocols and procedures laid out in the Staff Handbook. Opening up/locking up of practice premises and maintaining security in accordance with practice protocols Processing and distributing incoming emails Filing and retrieving paperwork Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures Providing clerical assistance to practice staff as required, including filing, photocopying, and scanning Keeping the reception area, notice boards, leaflet etc. tidy and presentable Cover sickness/annual leave and work reasonable overtime when required, including some weekends. Perform any other relevant and reasonable duties that may be requested by the reception supervisors, practice manager or partners. Undertake statutory and mandatory training as required.
