Summary
Office Manager (Part-time ~8 hours/week)
Long Wittenham Pre-School
Purpose:
Manage day-to-day administration remotely with at least one on-site visit weekly. Support the Management Committee and Pre-School Manager, ensure compliance with policies, maintain records, and liaise with parents and professionals. Long Wittenham Pre-School is a committee-run, not-for-profit charity operating from the village hall in a pack away setting.
Key Responsibilities:
-Oversee admissions, registers, staff records, and communications.
-Handle enquiries, purchasing, and resource management within budget.
-Manage invoicing, fee collection, payroll, and funding claims.
-Ensure compliance with safeguarding, GDPR, and health & safety.
-Assist with marketing, newsletters, and committee reports.
-Maintain children’s registration and communicate with prospective parents.
-Apply for funded places and additional funding via OCC portal.
-Liaise with Village Hall committee on lease and site issues.
-Support recruitment: job adverts, applications, references, DBS checks.
-Maintain staff records and provide support to staff and trustees.
-Pay bills and manage purchases for equipment, resources, and utilities.
-Manage payroll using Xero, including tax and pension contributions.
-Maintain subscriptions and insurance (Tapestry, Early Years Alliance, ICO).
-Attend termly trustee meetings and update website content.
-Other duties as assigned.
Essential Skills:
Strong administrative experience.
Excellent communication and organisational skills.
Proficiency in Google Workspace.
Understanding of confidentiality and safeguarding.
Desirable:
Experience in childcare/education settings.
Bookkeeping knowledge.
