About Us

Safe & Sound Control Systems Ltd is a well-established company based in Hersden. We are currently recruiting for a key role within our team to replace a valued employee of 10 years who is leaving in January 2026. We are looking for a reliable, friendly, and organized individual to ensure the smooth running of our front office and provide vital administrative support to the business.

The Role

As the first point of contact for the company, you will manage the reception desk while performing essential financial and administrative tasks. This is a varied role ideal for someone who enjoys multitasking and keeping an office organized.

Key Responsibilities

Reception Duties: Acting as the first point of contact for the business, answering the main switchboard in a professional manner, and welcoming visitors/clients to the office.

Purchase Ledger Support: Checking supplier delivery notes against internal Purchase Orders and resolving any discrepancies.

Invoicing: Verifying materials and subcontractor invoices against Purchase Orders and accurately entering them into the company finance software (QuickBooks).

Reconciliations: Monthly reconciling of supplier statements to ensure accounts are up to date.

Returns Management: Maintaining the Returns Day Book and processing material returns efficiently.

Dispatch & Logistics: Arranging the dispatch of completed products and managing associated paperwork.

Document Control: Assisting with filing, scanning, and maintaining accurate digital and physical records.

General Administration: Managing incoming/outgoing post, monitoring office stationery/supplies, and supporting the Directors and team with ad-hoc administrative duties.

Candidate Requirements

Personality: A friendly, outgoing personality with an excellent telephone manner is essential.

Experience: Previous experience in an admin or receptionist role is preferred. Experience with QuickBooks is advantageous, though training can be provided for the right candidate.

Skills: Strong computer literacy is required, specifically a good working knowledge of Microsoft Word and Excel.

Attributes: High attention to detail, trustworthy with confidential information, and reliable.
