Summary

People & Culture Administrator- £28,932 (£30,090 after successful completion of a 6-month probation)– South East London

The Role

Are you confident working in HR administration and ready to use your skills to help a team do their best work every day? Do you enjoy keeping things organised, supporting others and making sure everything runs smoothly behind the scenes? If so, this People and Culture Administrator position with Quo Vadis Trust (QVT) could be a great fit.

As our People and Culture Administrator, you will deliver day-to-day HR and office administration. You will help make sure our systems run well, our people receive the right support and our Central Services office stays organised and efficient.

This is a varied role where you will get involved in many aspects of HR administration, office coordination and team support.

Key Responsibilities:

HR Administration

• Support general HR activity across QVT
• Coordinate our HR software, Employment Hero
• Assist with onboarding and offboarding
• Help with recruitment administration and interview coordination
• Maintain employee files, contracts and records
• Support disciplinary and grievance meeting preparation
• Coordinate training activity and liaise with external providers
• Process DBS checks and Right to Work records
• Take accurate minutes for HR meetings
• Support quarterly reports, data and KPIs
• Assist with payroll and pension administration

Office Management

• Act as the first point of contact for Central Services
• Handle calls and email enquiries with clarity and care
• Build rapport with team members, clients and visitors
• Keep the office tidy and equipment maintained
• Manage the scanning and digital filing of documents
• Distribute post and cover admin colleagues as required
• Take and distribute minutes for meetings

General Duties

• Support colleagues across QVT and build positive relationships
• Uphold QVT values: Dignity, Excellence, Respect, Integrity and Kindness
• Ensure compliance with Health & Safety and EDI policies
• Provide wider admin support and occasional IT-related assistance

The Person

• Previous experience in a similar HR role.
• Strong written communication skills.
• Confident user of Microsoft Office and Outlook.
• Organised, methodical and accurate with excellent attention to detail.
• Able to work under pressure and meet deadlines.
• Friendly, approachable, and confident communicating at all levels.
• Flexible, adaptable, and able to use your own initiative.
• Understanding of GDPR.
• Able to travel between sites when required.
