Summary

Purpose of the job:
1. To work with the Project Lead and Policy & Partnerships Manager (PPM) to successfully deliver our food insecurity work known as Feeding Derbyshire.
2. To provide responsive and effective administration, communications and project coordination to ensure the smooth day-to-day operation of Feeding Derbyshire (FD), acting as a key point of contact internally and externally.
Specific Responsibilities:
1. To take the lead on specific areas of work as agreed with Project Lead and PPM, for example; FD network membership processes and small grants administration.
2. Coordinate network and steering group meetings and communication, any ad hoc events, conferences etc including arranging meetings (in-person, Teams or Zoom), preparation of agendas and minutes, handling relevant correspondence and ‘hosting’ and presenting the online meetings.
3. Maintain and manage the FD membership system and communication, including registering new members, communication with existing members and advertising of the network.
4. To take responsibility for the FD area of the website, with specific priority on the FD Google Map of Food Providers, and keep the FD social media pages updated and relevant.
5. Coordinate the FD Small Grants including, administration grant applications, preparing future applications for review for the Grants panel and work with the finance manager to ensure all due diligence checks are performed with the support of the Project Lead.
6. With the PPM and Project Lead manage the day-to-day relationships with key partners, including DCC, Fareshare, Feeding Britain, food suppliers, CVS’s and Derbyshire food providers to ensure good communication, effective working and sharing of best practice.
7. Carry out project visits and virtual support meetings with FD food banks to provide support, gather feedback, identify issues and undertake any necessary due diligence. Also identify any appropriate marketing activity to promote the outcomes and impact of the projects and the network.
8. To create and disseminate project materials, guides, email bulletins and general updates to support the emergency and affordable food sector and raise awareness of their work.
9. To coordinate the monitoring requirements of Feeding Derbyshire, including the creation and collation of monitoring/evaluation information gathered from our members that is required to demonstrate progress towards agreed targets and outcomes with our funders.
10. Processing of project payments and receipts and supporting the Project Lead & PPM to manage the overall budget.
11. Assist in developing and supporting effective communication, networking and relationship building across the network and project.
