Overview

This is an administrative role within the Probation Service. The job holder will provide essential support to staff and people on probation, ensuring efficient processes and maintaining administration systems within specified timescales to help achieve team and divisional objectives.

Key Responsibilities
  • Maintain accurate records for people on probation and victims on approved databases.
  • Administer referrals and support relationships between offender management, victims, interventions, service providers, and external agencies.
  • Prepare, maintain, and collate case files and management information.
  • Handle communications via telephone, email, and paper correspondence.
  • Provide reception and telephone enquiry cover.
  • Act as a single point of contact for specialist areas when required.
  • Arrange appointments and practical requirements for sentence plans.
  • Administer enforcement processes and manage petty cash/vouchers in line with procedures.
  • Organise resources and report faulty equipment.
  • Support meetings by preparing agendas, taking minutes, and distributing action points.
  • Ensure compliance with Health & Safety policies and safeguarding responsibilities.
  • Provide cover within the unit and across other units as needed.
  • Demonstrate pro-social modelling by reinforcing positive behaviour and challenging anti-social attitudes.

  • Proficient in MS Word and basic Excel skills
