3 month fixed term - 17 hours
Main Purpose:
To actively respond to all requests for Agency cover across the business, proactively liaising with agencies and booking agency cover as soon as possible to ensure all uncovered shifts across the business are allocated and filled regardless of the timescale to support the delivery of excellent care across all our Services
Core Duties
- To be the first point of contact for all agencies and DCA/Settings, guiding all aspects of the agency booking process in accordance with policies and procedures
- Action all requests for agency bookings that come into the team as soon as possible
- Send out all requests to Agencies straight away to enable as much time as possible for cover to be sourced
- Document all shifts onto Webroster as soon as they are confirmed
- Work proactively with approved Agencies to fill available shifts to try and ensure required shifts are covered
- Answer and manage any incoming calls, ensuring all calls are dealt with appropriately and in a timely manner
- System maintenance – ensure Webroster is kept up to date with clear documentation added where necessary
- Upload any agency documents to the system such as TICK sheets and Profile sheets
- Ensure that Agency placements comply with government and CQC guidance, this includes all compliance checks such as right to work in the UK and checking of vaccination status.
- Provide detailed hand overs of all shifts that require agency cover and have not yet been allocated
- Regularly chase Agencies to gain updates on shift covers required
- To raise issues regarding the fulfilment of shifts to senior team members as required
- Run reports as and when requested by management
Additional Duties
The post holder will be expected to:
- Take responsibility for their own health and safety and that of others in the course of their employment
- Demonstrate that the Company’s Vision and Values are at the centre of all you do
- Comply with all company policies in place
- Undertake training and development deemed necessary for the pursuance of the post
- Reach a good operating standard of I.T. competence to be able to use Company electronic systems effectively
- Work positively towards anti discriminatory practice
- Occasional travel and overnight stays may be required as part of your role in line with business needs
- To support the Community Support Team and the Operational Support Teams to meet the business needs and demands.
- Maintain and update Coldharbour ensuring that the data is accurate and stored in line with GDPR.
- To action all EForms in a timely manner, following the appropriate process.
- To action all Celltrak alerts in a timely manner and review them within the first 15 minutes of receiving them.
