Summary
Our client is seeking a highly organised and proactive Office Administrator to ensure the smooth and efficient operation of their office. You will be the backbone of our team, providing essential administrative support to staff and management while serving as the first point of contact for visitors, clients, and vendors. The ideal candidate thrives in a dynamic environment, possesses excellent communication skills, and has a keen eye for detail.
Hours are Monday to Thursday 08.30-17.00pm and Friday 08.30-14.30pm.
Key Responsibilities
* Management of customer orders.
* Handling customer enquiries via phone and email.
* Co-ordinating deliveries and generating dispatch paperwork.
* Compiling sales reports.
* Generating product quotations.
This role is to provide administrative support to the sales and production teams. This requires strong organisational and communication skills, with proficiency in Microsoft Office software and familiarity with SAGE and Salesforce CRM Systems preferred.
Core responsibilities
* Customer and order management: Answer customer inquiries, process orders and payments, verify customer information, and providr after-sales support.
* Sales support: Prepare sales contracts and agreements, track product inventory levels, and organise deliveries.
* Administrative tasks: Maintain and update sales and customer records, raise invoices, and manage sales reports.
* Communication: Liaise with customers, and other departments via phone, email, and in person.
Essential skills and qualifications
* Strong organisational skills and attention to detail.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite.
* Familiarity with CRM software is preferred.
* A high school diploma or equivalent is typically required; an associate's degree can be beneficial.
Typical work environment
* An office setting, working alongside other sales administrators and sales team members based in Wellingborough, Northants.
* Spending a significant amount of time on the phone and computer to handle duties.
