Summary
Purpose of the Role: To provide a friendly, efficient and professional reception and administrative service for a busy community organisation, ensuring visitors feel welcomed and enquiries are managed effectively.
Key Responsibilities:
Greet visitors and service users, offering a warm and professional welcome.
Manage incoming calls, emails and appointment bookings.
Maintain the reception area, ensuring it is clean, organised and accessible.
Record and update client information accurately using internal systems.
Support staff with administrative tasks, including photocopying, filing, data entry and room bookings.
Follow confidentiality and safeguarding procedures at all times.
Assist with general office duties as required.
Person Specification
Essential:
Strong communication and customer service skills
Good IT skills (email, Word, databases)
Ability to manage multiple tasks in a busy environment
Reliable, organised and able to use initiative
Professional and approachable manner
Desirable:
Experience in reception/admin roles
Experience working with the public or in a community setting
Understanding of confidentiality, GDPR and safeguarding
Hours: Monday 2pm-6pm, Wednesday 2pm-8pm, Thursday 2pm-6pm and Friday 9am - 2pm. Must be able to provide holiday cover as required
