Summary

Purchasing Assurance Administrator Location: AASC, Birchwood, Warrington, WA3 7PB Working Hours: Full-time, 37.5 hours per week (Monday to Friday) Hybrid Working: 3 month probation will be 5 days office based then the role will be Hybrid, 2 days home-based, 3 days office-based Salary: £25,461.00 per annum + Excellent benefits

The key purpose of the Purchasing Assurance Administrator To support the purchasing function by ensuring the accuracy, integrity, and compliance of purchasing data. The role involves detailed analysis of procurement data to identify anomalies, inconsistencies, or risks, and escalating findings appropriately to ensure timely resolution and continuous improvement. The role also involves building strong working relationships with key stakeholders to support excellent service delivery across the contract and wider business.

Key Accountabilities:
· Data Scrutiny & Assurance
· Review and validate purchasing data for accuracy, completeness, and compliance with internal policies.
· Identify anomalies, trends, or irregularities in purchasing transactions and supplier data.
· Maintain audit trails and documentation for all data checks and investigations.
· Escalation & Reporting
· Escalate significant data issues or risks to the Purchasing Manager.
· Prepare reports and summaries for the Head of Business Support, highlighting key findings and recommendations.
· Support internal audits and compliance reviews with relevant data and insights.
· Stakeholder Engagement
· Build and maintain effective working relationships with internal and external stakeholders across the contract and wider business.
· Collaborate with stakeholders to ensure high standards of service delivery and continuous improvement in purchasing processes.
· Process Support
· Assist in the development and maintenance of purchasing assurance procedures and checklists.
· Collaborate with the wider purchasing team to improve data quality and process efficiency.
· System & Record Management
· Maintain accurate records in procurement systems, contract systems and databases.
· Support system updates and data cleansing activities as required.
· Ensure confidentiality and integrity of sensitive purchasing information.
· Other Duties
· Undertake any other reasonable duties or tasks as requested by the Purchasing Manager or Head of Business Support to support the effective operation of the purchasing function.


Knowledge and Skills:
· Excellent attention to detail and strong organisational skills.
· Ability to successfully engage and build effective working relationships with both internal and external stakeholders.
· Confident in communicating information and updates clearly across the contract.
· Demonstrates effective time management and the ability to manage and deliver multiple priorities, independently and to deadlines.
· Proficient in Microsoft Office, particularly Excel.
· Strong ICT skills and ability to work with data systems.
· Good communication and interpersonal skills, both written and verbal.
· Ability to travel within the regions and occasionally within the UK (a valid UK driver’s licence is essential)
· Security clearance at Counter Terrorism Check level and Criminal Record Bureau checks are required (the role is exempt from the Rehabilitation of Offenders Act 1974 and all offers of employment are subject to security clearance checks and approval by the Home Office)
